Office Administrator - Custom Manufacturing

Established small custom manufacturing business in Kearny Mesa, San Diego is looking for an office Admin.

We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will handle a variety of administrative tasks with a focus on purchasing and production paperwork. This role requires attention to detail, strong communication skills, and the ability to multitask.

Key Responsibilities:

Manage procurement of office supplies, equipment, and materials.

Maintain relationships with vendors and negotiate contracts.

Track inventory levels and reorder supplies as needed.

Ensure timely delivery of purchased goods and services.

Prepare and maintain production schedules and reports.

Track production progress and update relevant documentation.

Coordinate with production teams to ensure accurate and timely completion of paperwork.

Handle documentation for quality control and compliance.

Answer phone calls and manage correspondence.

Organize and maintain physical and digital files.

Assist in scheduling meetings and managing calendars.

Support other administrative tasks as needed.

Qualifications:

High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.

Minimum two plus years of experience in an office setting.

Proven experience as an office administrator, administrative assistant, or relevant role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Familiarity with purchasing and production processes.

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Attention to detail and problem-solving skills.

Bilingual (English/Spanish) is a plus but not mandatory.

Option to start as part time and can convert to full time.
