We are looking for a dynamic and compassionate Administrative Assistant/Patient Care Coordinator to join our team. This role is critical to ensuring a positive, welcoming experience for our patients and plays a key part in delivering exceptional care. You’ll be the first point of contact for many patients—helping them navigate their journey to better health and wellness. In this role, you will also have the opportunity to learn about naturopathic medicine and healthcare practices.

This position will report to the Office Manager. On-the-job training will be provided.

Summary of Role:

We are seeking an energetic and detail-oriented administrative professional to assist with the daily operations of our clinic. As the Patient Care Coordinator, you will be responsible for greeting patients, answering phone calls, responding to inquiries, processing payments, and managing appointment scheduling. You’ll work closely with the office manager and doctors to ensure that the practice runs smoothly and efficiently. Key Responsibilities:

Patient Interaction:

- Be the first point of contact for patients—whether in person or over the phone—providing a warm, professional welcome and answering questions about our services, treatments, insurance, and payment options.

- Guide new patients through necessary intake paperwork, ensuring all important information is recorded in our practice management software (CharmEHR).

- Assist patients with appointment scheduling, rescheduling, and reminders, ensuring smooth coordination of care.

- Provide patients with updates about their treatment plans, lab results, and prescriptions at check-out.

Administrative Support:

- Maintain accurate patient records and ensure procedures are correctly entered into the system.

- Handle patient billing inquiries and process payments, including cash, debit, and credit transactions.

- Coordinate the reception area, ensuring it is tidy and welcoming at all times.

- Assist with ordering supplements and medical supplies, as well as managing inventory.

- Help the doctors with administrative tasks such as contacting pharmacies, imaging centers, and managing medical records.

Teamwork & Office Operations:

- Work closely with the office manager and medical team to keep the clinic running smoothly and efficiently.

- Support the team by handling various office duties such as data entry, answering messages, and assisting with special projects as needed.

Job Qualifications:

Education: High school diploma or GED required. Additional coursework or training in healthcare administration, business, or medicine is a plus.

Experience:

- A minimum of 2 years of direct work experience in a receptionist or administrative assistant role. Experience in a healthcare setting is preferred.

- Familiarity with Microsoft Office, Mac computers, and electronic medical record systems.

Skills:

- Excellent communication skills, both verbal and written, with a friendly, professional phone manner.

- Strong interpersonal skills and the ability to connect with patients and staff in a compassionate, empathetic manner.

- Basic math skills and experience handling cash and processing payments.

- Strong attention to detail and organizational skills.

- Ability to work independently and as part of a team in a fast-paced environment.
