Description We are seeking a versatile and organized individual to join our team as an Office and Accounting Assistant. This role plays a crucial part in ensuring smooth daily operations by managing front desk responsibilities, supporting accounting functions, and assisting with various administrative tasks.Responsibilities include: Front Desk Management:o Greet and assist visitors in a professional and courteous manner.o Answer and direct phone calls promptly and efficiently.o Manage incoming and outgoing mail and packages. Accounting Support:o Respond to all vendor, Portfolio Manager, and Resident Manager inquirieso Process Deposit Accounting within legally mandated timelineo Assist in the preparation of 1099 Miscellaneous tax forms for vendorso Track certificates of insurance for tenants, owners and vendorso Assist with accounts payable tasks, including keeping files in a neat and organized fashiono Maintain financial records and prepare basic reports as needed. General Support:o Maintain office supplies inventory and place orders as necessary.o Clerical support such as filing, photocopying, scanning, faxing, sorting and mailing of documentso Handle sensitive and confidential information with integrity.o Perform other administrative and clerical duties as assigned.Requirements: The requirements listed below are representative of the knowledge, skill, and/or ability required. Requirements Proficiency in Accounting Software Systems is essential. Ability to design and manage Banner Ads is required. Practical knowledge of various Computer Programs is a must. Familiarity with CRM (Customer Relationship Management) software is needed. Experience in Answering Inbound Calls is required. Must be capable of handling Billing Functions efficiently. Proficiency in Clerical Duties is necessary. Advanced knowledge of Microsoft Excel is required. Should be able to effectively Deliver Mail within the office premises.
