Construction Office Administrator

We’re a fast-growing construction and home services company based in downtown Santa Barbara, looking for an experienced office and accounting professional to take on a wide range of responsibilities. This is a hands-on role for someone who takes ownership of their work, stays organized under pressure, and thrives in a collaborative environment. CORE RESPONSIBILITIES:

Full-charge QuickBooks management — reconciliation, AP & AR.

Construction Billing: progress/multi-phase billing, lien waivers, insurance documentation, certified payroll experience a plus, payment applications, construction and billing schedules.

Customer service & dispatch: Answering calls, scheduling service, following up with customers, tracking parts orders, dispatching technicians.

Office coordination & problem-solving: Keeping things moving efficiently and proactively, monitoring accounts on a daily basis.

Assisting sales team with estimating and project coordination and documentation.

Oversee office staff to ensure timely completion of daily tasks including bank deposits, collections, scheduling, bill payments, filing, and shipping/receiving.

Coordinate with technicians to ensure jobs are completed successfully and clients receive excellent follow-up through to project completion.

REQUIREMENTS:

Must have a minimum of 2 years prior experience in construction, trades, property management, real-estate or similar industry.

Must have a minimum of 2 years prior experience in accounting, bookkeeping, or finance.

Degree in business, finance, accounting, construction administration, or relevant certificate program.

Working knowledge of Quickbooks Online or Desktop Required; be prepared to be tested during the interview.

Reliable and punctual, job is not remote. Office Hours: Monday-Friday 7:00 AM to 4:00 PM.

Excellent multitasker with strong verbal and written communication skills.

Someone who’s confident, responsible, proactive, empathetic and a self-starter.
