Member Services Manager

POSITION: Member Services Assistant Manager

REPORTS TO: Member Services Manager/Clubhouse Manager

Position Summary:

Oversees the Member Services Desk. Manages member information. Oversees the management of the office by managing supply orders & shipping requests, monitoring maintenance requests & work orders, and maintaining cleanliness of front desk, back office and entry.

QUALIFICATIONS:

Essential:

Minimum 2-year college degree and 1-2 years’ experience in hospitality.

Excellent computer skills with Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook).

Excellent organizational skills

Minimum high school education

Valid CA driver’s license.

Excellent oral and written communication skills

Must be detail oriented and organized with ability to multi-task.

Flexibility of hours and willingness to work more than 40 hours per week, including holidays and weekends on a regular basis.

Desirable:

1. Bachelor’s Degree and minimum of 2 years’ hotel/club experience.

Essential Skills:

Able to lead and motivate people.

Excellent verbal and written communications skills, fluency in English.

Highly organized and flexible.

Exceptional interpersonal skills and ability to communicate and relate to people from diverse backgrounds and cultures.

Self-starter; able to carry out diverse duties with minimal supervision.

Ability to create activities for all ages.

Professional demeanor.

Knowledge of hotel, resort and/or club operations.

Ability to create proper documentation for recruiting, coaching, safety, discipline, etc.

Ability to coordinate with other departments daily.

Strong computer skills.

Providing support to other areas and departments of the Club

Essential Job Functions:

Concierge

1. Training and ongoing supervision of Member Service associates.

2. Facilitate Member Service bi-monthly meetings.

3. Create preliminary Member Services weekly schedule.

4. Serve as the Liaison between Member Services (concierge and programs/activities) and all other departments, especially Food & Beverage and Golf.

5. Ensure all associates are aware of weekly activities and events, member traffic in clubhouse rooms and all miscellaneous need-to-know information.

Programs & Activities

1. Assist in creating fun, interactive, and educational programs and activities for all ages. Write descriptions, select dates, times, prices for consideration.

2. Facilitate on-site property activities for all ages.

3. Post all program and activity charges to members’ accounts.

4. Track member feedback on events to better plan for following year.

5. Complete “End of Year Summary” of Programs & Activities for management.

Membership Maintenance

1. Enter, change, delete, update member profile information.

2. Manage member-generated profile edits, to ensure the information is updated.

3. Create a calendar with member birthdays (main member & significant other) and anniversaries to send out greeting cards (either hard copy or electronic).

4. Complete other duties as required by Club management

Physical Requirements:

Must have the ability to:

Read and write (English)

Communicate verbally with staff with or without the use of two-way radios.

Give and/or follow verbal and written instructions

Supervise subordinates

Visually inspect all work areas

Operate equipment for several hours at a time

Perform mathematical calculations involving fractions, decimals, and percentages

Retrieve, read and interpret information from technical sources

Stand, walk, push, pull, lift, grasp, bend and kneel for up to 5 hours at a time

Lift up to 25 lbs. occasionally, 15 lbs. frequently, and 10 lbs. constantly
