Front Office Coordinator
About the Position:
We are seeking a friendly, organized, and detail-oriented Front Office Coordinator to join our psychology clinic. This position serves as the first point of contact for our clients and plays a vital role in ensuring smooth daily operations and excellent client care.
Key Responsibilities:
The Front Office Coordinator will manage essential administrative functions including answering phone calls and responding to client emails with professionalism and empathy. You'll coordinate scheduling for multiple therapists, managing their calendars to maximize efficiency while accommodating client needs. Billing responsibilities include processing payments, submitting insurance claims, and following up on outstanding accounts. Additional duties include maintaining client files in compliance with confidentiality requirements, greeting clients warmly as they arrive, managing office supplies, and supporting therapists with various administrative tasks as needed.
Qualifications:
We're looking for someone with strong communication skills, both written and verbal, who can interact with clients in a compassionate and professional manner. You should be highly organized with excellent attention to detail, particularly when handling sensitive information. Proficiency with standard office software and scheduling systems is required, and experience with electronic health records or practice management software is a plus. Prior experience in a medical, mental health, or healthcare administrative setting is preferred but not required. Above all, you must demonstrate a commitment to maintaining strict confidentiality and understanding of HIPAA regulations.
