Montessori Center School Hiring Operations/Office Coordinator

MCS seeks an Operations/Office Coordinator to join our administrative team. This is a new role with the school and an opportunity to work with MCS’ students, families and staffulty by providing strong administrative support for the school’s leadership and office team. They will work incredibly close with our Office Manager & Registrar. The candidate for this position is a highly motivated self-starter, who is reliable, detail-oriented and skilled at building relationships with different stakeholders – children, parents, teachers and administrators alike. You will work closely with the school’s community engagement team to plan and execute school-wide events, will help ensure that the office runs smoothly, and will help welcome new families to school each day.

An Employee serving in this role is expected to perform the following roles, responsibilities, essential duties and services, and will meet the following professional qualifications and requirements:

Office Receptionist

Provide reception support when the Office Manager is away from her desk.

Field inbound calls, manage the mail.

Greet visitors, check late students in, and ensure front entrance safety procedures are adhered to.

Ensure that the office is a neat, clean and orderly environment.

Serve as the administrative team member on point during after care hours (3-5:30 pm).

Manage the info@ email account, directing inbound email traffic to the appropriate team members.

Event Logistics

Support planning, preparation, setup and breakdown for a host of daytime and evening school-wide events including open houses, Back-to-School Night, Grandfriends Day, the annual benefit auction gala, and the jog-a-thon, to name a few.

Coordinate and prepare for catering, handle physical space setup and breakdown, and supervise volunteers.

Administrative Support

Provide administrative support for members of the school’s leadership and administrative team (e.g. filing, mailings, gift preparation, copying, etc.).

Coordinate board meeting preparation (board packet prep and dissemination, RSVPs, meeting setup/breakdown), take meeting minutes, manage board calendars, files and rosters.

Admissions Support

Serve as the primary point of contact for Spanish speaking families calling the school to inquire about the immersion program.

Participate in admissions tours and community outreach events for the immersion program.

Support logistics for admissions open houses (catering orders, setup, breakdown).

Marketing Logistics

Manage inventory of marketing materials (swag, brochures, etc.).

Put up and periodically change out posters and flyers around campus to market the school’s events and upcoming opportunities.

Successful candidates for this role will evidence the following qualifications:

Experience & Professional Qualifications

A track record of planning, communicating with teams and executing with strong follow-through and attention to detail and in a manner that fosters trust, confidence, stability and a culture of belonging, impact and results.

Excellent English language skills (written and verbal) required

Excellent Spanish language skills (written and verbal) required

Prior experience working in an administrative support role in a school or similar organization (3+ years preferred)

Physical Requirements

The roles and responsibilities of this position with the school require the Employee to perform the following physical requirements of working in the school environment:

Physical stamina to work with school-aged children

Frequent walking, kneeling, standing, stooping, sitting on the ground, and occasional lifting, up to approximately 50 pounds

Must be able to grasp and feel the attributes of objects, such as size, shape, temperature and texture

Able to move as needed to ensure the safety of the children; other physical activities may be required

Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer information, determining the accuracy, neatness and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside and outside environmental conditions, noise and hazards

Daily personal and close contact with children to provide classroom management and learning environment support is required; regular in-person contact with parents, faculty and staff members is required

Compensation

This is an hourly, non-exempt full-time position 40 hours per week, 12 months per year. Compensation for this position is competitive and commensurate with starting annualized pay for experienced applicants ranging from $24 to $30/hour. Full-time employees of MCS are eligible for comprehensive health and wellness benefits, 403b retirement plan matching and paid time off. The school has a generous tuition reduction program for children of full-time staffulty.
