The Position

The Operations Coordinator performs a wide range of functions helping organize, coordinate, and carry out Operations related projects and processes across all Family Service Agency (FSA) offices in Santa Barbara County. This position is responsible for the coordination of the administrative support functions within Operations, contributing to improved procedures and support within Operations as well as FSA. Responsibilities include financial analysis, including identifying opportunities to increase revenue, decrease expenses, and improve efficiency; reporting and tracking; coordinating operational, administrative, and organizational activities; and problem solving.

The Operations Coordinator also works to ensure employee satisfaction through education of Operations processes and procedures, and by fostering a positive and supportive work environment. The Operations Coordinator should be highly organized, detail oriented, personable, and approachable. The Operations Coordinator works with the Operations Manager to fulfill a variety of Operations tasks.

Sample Job Duties and Responsibilities

Agency-wide

1. In collaboration with the Senior Operations Project Coordinator (Santa Maria):

a. Information Technology

i. Maintain IT inventory, including tracking changes, labeling, and assignment of new devices.

ii. Point of contact for day-to-day questions about IT, and redirecting questions to FSA’s IT provider when needed. This may include password resets, printer issues, etc.

iii. Maintain cell phone inventory. This task requires monthly auditing of cell phones and the associated fund source(s).

2. In collaboration with the Senior Operations Project Coordinator (Santa Barbara):

a. Building Maintenance and Facilities Liaison

i. Point of contact for day-to-day coordination of building maintenance and repair. Examples include overhead light replacement, assembly of furniture, parking lot cleanup, etc.

On-Site

3. In collaboration with the Lead Front Office Coordinator (Santa Barbara):

a. Provide front desk coverage for the Santa Barbara office on a regular basis.

i. Distributes mail to staff mailboxes as needed, monitors general delivery voicemail mailbox, and prepares weekly deposit.

b. Provide support to various programs as needed.

4. Oversee the issuance of keys, alarm codes, and fobs for the Santa Barbara office.

5. Prepare basic reports for management review, such as quantities and ages of IT devices, email distribution listings, etc.

Employment Requirements:

1. Bachelor’s Degree highly desired. Associate’s and/or 5 years of work experience considered in lieu of B.A./B.S.

2. Bilingual (English/Spanish) required.

3. Excellent analytical, computer, written and verbal communication skills; ability to work independently and collaboratively with others. Position requires professional attitude, good judgement, teamwork, leadership, and the ability to maintain confidentiality.

4. Knowledge of IT and facilities experience preferred.

5. Organized and detail oriented.

6. Valid California Driver License, vehicle insurance, and reliable transportation required for travel as needed countywide.

Classification, Hours, and Pay Rate:

This position is full-time (40 hours/week), non-exempt, with benefits, including: medical, dental, vision, life insurance, flexible spending accounts and 403(b) retirement plan. Generous vacation, holiday, and sick leave also offered.

Pay starts at $27.00.
