SERVPRO® of Santa Barbara is seeking an Office Administrator or Office Manager (Depending on your experience). This position is designed for an entry level position with lots of room to grow, or a great position for someone with prior office management skills ready to tackle our office and day to day operations. The employees the previously held this position were with our firm for 3 and 6 years. We hope the right candidate will stay as long, if not longer.

Servpro of Santa Barbara is a local owned Franchise, part of a larger organization SERVPRO. SERVPRO has over 1800 Franchises throughout the United States & Canada. SERVPRO of Santa Barbara's owner has two Franchises here locally: SERVPRO of Santa Barbara and SERVPRO of Santa Ynez/Goleta. Both franchises are ran out of our Santa Barbara office, with a satellite office in the Santa Ynez Valley. This position is mainly in the Santa Barbara office.

This position can start at a entry level and we will train and help you grow within our company, as well as your skills, or this position can be for a experienced office manager. As part of the SERVPRO Corporate team we have high quality training resources available, so if you are not familiar with this industry, please know we are prepared to help educate the right Candidate. This position will assist with he following tasks: Collections, Customer Service, Insurance Adjustor Correspondences, Billing, Scheduling, and general office roles. If starting at an entry level, we do have the hope to convert and Administrator to Office Manager, where you will manage the franchise office team An eye for detail is very important for this position, good phone skills and customer relations, as well as general Apple product knowledge. You will work daily with both the team and with clients. There will be occasions that you will go to client homes to help obtain signed documents and work with our field team. The position is mainly in the office, but will have some errands. Mileage is reimbursed, when not using a company vehicle. Some weekend assistance with dispatching will be asked at times, compensation is provided for the additional work.

Customer Relations

Job File coordinator

Coordinate and maintain company calendar and franchise communication

Light Personal Assistant Duties for Owner

Job Costing with existing Spreadsheet program

Help intake New Hires and forward information to HR and Accountant

Ensure fulfillment of the training and development plans for all divisions

Upload Job Files, and Verify Daily Readings

Coordinate with SERVPRO Corporate Headquarters on updates and changes, notify departments of applicable changes.

Work with Team to ensure necessary equipment and tools are properly assigned and maintained

Help owners coordinate Office incentive and group activities for continued Team Building

Position Requirements

2+ year(s) of office or customer service experience

Solid organization and planning capabilities, strong attention to detail

Approachable personality, with the desire to be a part of a team

Good written and verbal communication skills.

Self-motivated and goal-oriented with ability to multi-task

Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)

Proficiency with Apple Products (iPhone &/or iPad)

Ability to learn new software and proprietary software

Experience in customer service industry environment a plus

Clean Driving Record, active Driver's License as you will be running errands

Ability to successfully complete a background check subject to applicable law

Desirable, but not required would be prior Construction Industry experience and/or Bilingual.

Pay Rate

Competitive salary based on experience, and starting level within the company. This position has the ability to receive on top of your wages, commissions for new clients after your training period.
