POSITION PROFILE

Position Title: Office Manager and School Registrar - Long Term Maternity Leave Coverage

Reports To: Associate Head of School

FLSA Classification: Non-Exempt/5 Month Position (August 2024 - December 2024)

Position Objective:

Working closely with the Associate Head of School, Division Coordinators, Faculty and Staff, the primary focus of the Office Manager and School Registrar will entail the smooth operation of day to day school procedures. The Office Manager and School Registrar is a key member of our school community, responsible for managing the front office and maintaining school records. This role requires a highly organized, detail-oriented individual with excellent communication skills and the ability to multitask effectively in a dynamic environment interacting directly with the public, families, students, faculty and staff.

Essential Job Duties

Front Office Management:

Greet and assist visitors, parents, students, and staff with a friendly and professional demeanor.

Answer and direct phone calls, taking messages and providing information as needed.

Manage incoming and outgoing mail and deliveries.

Maintain a clean, organized, and welcoming front office area.

Schedule and coordinate appointments, meetings, and events.

Assist with the preparation and distribution of school communications, including newsletters, emails, and announcements.

School Records Management:

Maintain accurate and up-to-date student records, including enrollment, attendance, grades, and health records.

Ensure the confidentiality and security of all school records in compliance with relevant regulations.

Process and manage student admissions, transfers, and withdrawals.

Generate and distribute reports, transcripts, and other documents as required.

Assist with the management of school databases and information systems.

Coordinate with teachers, administrators, and other staff to ensure accurate record-keeping and data management.

Additional Duties:

Provide administrative support to the school administration and other staff as needed.

Assist with school events, field trips, and special projects.

Support the School Nurse by administering first aid and preparing injury reports as needed.

Arrange for substitute teachers, track assignments, collect substitute timesheets for payroll purposes.

Keep copies of parent field trip volunteers’ fingerprints, driver license and auto insurance.

Order and maintain an inventory of office supplies, first aid and health supplies.

Be involved in the school community at large.

Assume responsibility for other projects as assigned by the Associate Head of School or Head of School.

Perform other duties as assigned to contribute to the smooth operation of the school.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT

Works in a school environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.

Occasionally, bend, stoop, and squat.

May work at a desk and computer for extended periods of time.

Be able to lift up to 40 lbs occasionally.

Willing to work some evenings and weekends for school-related events or projects.

This position is a temporary, full-time position. Pay is competitive and is commensurate with education, experience, and skills.

Hourly Rate - $28-$30/hour
