The Administrative Assistant will directly support the Global Head of Robotics R&D and the broader Robotics R&D leadership team.Key Responsibilities

Responsible for calendar management and coordinating schedules

Be the face of the Robotics R&D LT when hosting team meetings or visitors while they are onsite

Assist in the preparation of high caliber presentation material for senior leadership updates and review meetings

Manage special projects as needed

Coordinate complex and fluid schedules and travel arrangements

Submit and reconcile expense reports in Concur

Attend meetings and record/distribute action items

Plan and schedule meetings, presentations, and other office related events to maintain and build team culture

Coordinate conference room scheduling and catering for larger meetings as needed

Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff

Achieve results in the absence of day-to-day mentorship

Maintain strict confidentiality and exercising independent discretion and judgment to tackle complex problems

Maintain office environment and serving as single point of contact for facilities

QualificationsRequired

A minimum of a High School diploma or equivalent

A minimum of 4 years of administrative assistant experience, preferably supporting high level executives

Global calendaring experience in a complex matrix environment understanding time zone impacts to meetings and travel schedules

Excellent time management skills including the ability to multi-task and effectively prioritize work

Attention to detail and problem-solving skills

Technology savvy: Experience with MS office (including Excel), Concur, Amex Travel, Summit, Teams, Zoom

Experience with expenses reports

Supporting visitors and organizing site visits

Strong verbal, written communication, and interpersonal skills

Flexibility to adjust to changing business environments

Display business and emotional intelligence

Accountability

Ability to anticipate needs and be proactive

Strong leadership, interpersonal, collaboration, analytical and problem-solving.

Sound judgment and discretion with ability independently to assess and resolve complex situations and shift priorities as the need arises

Preferred:

Experience supporting a large and complex organization

Experience with software-based platforms, remote communications platforms, and IT

Prior experience leading large organization administratively

Ability to innovatively lead a large organization in planning for large meetings

For U.S. applicants, in accordance with applicable disclosure requirements, the anticipated base pay range for this position is $54,050 to $87,287.The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/ performance year. Bonuses are awarded at the Company’s discretion on an individual basis.Employees may be eligible to participate in Company employee benefit programs such as health insurance, savings plan, pension plan, disability plan, long-term incentive, vacation pay, sick time, holiday pay, and work, personal and family time off in accordance with the terms of the applicable plans.
