Position Summary: Buellton company is seeking a highly organized and detail-oriented temporary Administrative Support Manager
Key Responsibilities:
Operational Management: Ensure the daily operations of the office run smoothly, identifying and addressing potential issues with proactive solutions.
Office Administration: Maintain office efficiency by managing common areas, developing and documenting processes/procedures, handling correspondence, maintaining organized file systems, and ensuring adequate supplies and functional office equipment.
Reception and Communication: Act as the primary point of contact in the reception area and provide regular updates to management through performance reports.
Administrative Support: Provide direct and managerial administrative support, including scheduling appointments, organizing meetings and events, booking travel, mailing/shipping packages, updating contact databases, and maintaining employee lists.
Equipment & Vendor Management: Ensure uninterrupted function of office equipment, coordinate vendor relationships, acquire necessary supplies, and oversee arrangements for food deliveries as needed.
Promote Workplace Culture: Foster a collaborative and inclusive work environment that promotes teamwork, mutual respect, and recognition while modeling the organization’s values and culture.
Additional Responsibilities: Perform other duties as assigned to meet organizational needs.
Qualifications:
High school diploma or GED required; bachelor’s degree in Business, Communications, or related field preferred (or equivalent work experience).
Experience in office management or similar roles.
Proficient in Microsoft Office applications (Word, Excel, Outlook), email platforms, and the Internet.
Strong organizational and multitasking skills with attention to detail.
Demonstrated ability to prioritize tasks, plan actions, and manage time effectively to achieve objectives.
Excellent written and verbal communication skills, able to provide concise, clear documentation and professionally interact with all levels of stakeholders.
Leadership skills, including the ability to train, coach, develop, and empower team members.
