Accounting Manager (Part-Time)
Remote - Flex - Hybrid
Summary
Reporting to the Executive Director, the Accounting Manager is responsible for managing the full cycle of accounting activities, including accounts payable, accounts receivable, payroll, bank and credit card reconciliations, financial reporting, and regulatory compliance. This position ensures the accuracy of financial records, supports budgeting and forecasting, and provides financial insights to management to guide decision-making.
Key Responsibilities
1. Financial Management
Manage and oversee the full accounting cycle, including journal entries, general ledger, and trial balance.
Review and code bank and credit card transactions in QuickBooks.
Reconcile bank accounts and credit card statements monthly.
Ensure timely and accurate closing of the books on a monthly and annual basis.
2. Payroll
Process payroll in Gusto on a semi-monthly basis.
Enter payroll journal entries into QuickBooks and ensure accuracy of payroll records.
Manage employee benefits, deductions, and tax withholdings.
3. Financial Reporting
Prepare monthly financial statements, including statement of activity, statement of financial position.
Generate ad hoc financial reports and analysis for the Executive Director and board as needed.
Provide financial data and insights to support strategic planning and budgeting.
4. Compliance & Audit
Coordinate with external auditors and provide necessary documentation for the annual audit.
Work with the tax accountant to prepare and file federal and state tax returns.
Prepare and file regulatory filings, including the RRF-1 package with the California Registry of Charitable Trusts.
Prepare and issue Form 1099s for independent contractors annually.
5. Financial Oversight
Ensure compliance with GAAP and internal financial policies.
Monitor cash flow and manage expense tracking.
Implement internal controls to protect the organization’s assets and financial integrity.
6. Support & Communication
Respond to the Executive Director’s requests for financial information related to donations, project funding, and expenses.
Qualifications
Bachelor’s degree in Accounting, Finance, or related field.
5+ years of experience in accounting, preferably in a nonprofit or similar environment.
Proficiency in QuickBooks, Gusto, and Microsoft Office (Excel, Word, Outlook).
Strong knowledge of GAAP and financial reporting.
Excellent organizational and time-management skills.
Ability to manage multiple tasks and meet deadlines.
Strong analytical skills and attention to detail.
Preferred Skills
Experience in nonprofit accounting and fund accounting.
Familiarity with state and federal tax regulations for nonprofits.
Ability to work independently and provide strategic financial guidance.
