Are you an organized and detail-oriented project professional with a passion for construction management? Our boutique construction management firm is looking for a Project Coordinator to support and oversee tenant improvement (TI) projects for commercial property owners in the San Francisco Bay Area. This is a part-time role with the potential to grow into a full-time position as the business expands.

We partner with commercial property owners and their leasing teams to manage small to medium-sized tenant improvement projects from lease negotiation to project close-out. Our firm specializes in ensuring that buildouts are on time, on budget, and meet the highest standards of quality.

About the Role

The Project Coordinator will assist in all aspects of construction project management, including budgeting, scheduling, bid processes, financial tracking, and administrative support. This role involves working closely with tenants, contractors, architects, engineers, and property managers to ensure seamless execution of projects.

Key Responsibilities

Project Management & Coordination

Assist or manage all aspects of construction, including scheduling, budgeting, and communication.

Support multiple projects by developing scopes of work, reviewing space plans, and overseeing project execution.

Review construction plans and specifications for accuracy and constructability.

Submit MEPs (Mechanical, Electrical, and Plumbing) to engineering teams and property managers for approval.

Assist in developing project schedules and budgets to align with lease requirements.

Support the bid process by preparing bid comparison sheets and evaluating contractor proposals.

Ensure compliance with building rules, regulations, and construction standards.

Attend and participate in weekly construction meetings with contractors, tenants, and property management teams, providing regular project updates.

Maintain project tracking sheets and provide weekly updates to asset management.

Support punch walks and ensure punch list items are completed before tenant occupancy.

Ensure all project documentation is properly filed and distributed to stakeholders.

Assist property teams with oversight of tenant-managed construction projects.

Attend leasing and department meetings to coordinate project planning.

Financial & Budget Oversight

Maintain Project Workbooks for construction projects, ensuring accurate cost tracking and budget compliance.

Work with clients’ accounting teams to manage job-cost tracking, invoice processing, and cash flow forecasting.

Update monthly corporate accounting reports for active projects, ensuring financial accuracy.

Track and reconcile construction costs against project budgets, identifying and collecting tenant cost overages.

Process invoices, ensuring proper coding, lien releases, and contract compliance before approval.

Prepare tenant improvement overage billings with full invoice documentation and reconciled workbooks.

Assist in final project budget reconciliation and financial close-out.

Communicate with General Contractors and Architects to ensure prompt and accurate billing and payments.

Administrative & Compliance Support

Prepare tenant improvement contracts and manage signature timelines.

Organize and maintain project filing systems, ensuring accurate documentation.

Review close-out packages to ensure completeness before final payments.

Support additional projects or special requests as needed.

Who You Are

Construction-Savvy – Experience in commercial tenant improvements, construction, or property management.

Highly Organized – Strong ability to track multiple projects and maintain detailed documentation.

Financially Minded – Understanding of budgets, cost tracking, and invoice processing.

Proactive Communicator – Ability to coordinate between property owners, tenants, contractors, and internal teams.

Detail-Oriented & Analytical – Strong attention to detail in project tracking, contract management, and reporting.

Tech-Savvy – Proficiency in Microsoft Excel, project management software, and financial tracking systems.

Bay Area-Based – Familiarity with local building codes, permitting processes, and the commercial real estate market required. San Francisco based is a big plus.

Compensation & Growth

Part-Time to Start, looking for about 20 to 30 hours as a 1099 independent contractor to start with potential for full-time salary depending on compatibility.
