Position Description:
One full time - full year (260 Days) Permanent exempt position.Exempt employees are considered "at will" and serve at the discretion of the appointing officer.Note: This position is designated supervisory and is not represented by a collective bargaining unit. This position is grant funded and funding is reviewed on a yearly basis. Hours are subject to change after appointment dependent upon grant status.The Mathematics Engineering Science Achievement (MESA) program at City College of San Francisco (CCSF) academically prepares students intending to transfer to four-year institutions to attain baccalaureate degrees in Science, Technology, Engineering, and Math (STEM) fields. MESA provides academic support to students throughout their program enrollment, facilitating their excellence in math and science and culminating with their graduation with a degree in a STEM major.Under the general supervision of the Dean of STEM and the MESA Director, the 1844 Senior Management Assistant (MESA Management Assistant) will work in collaboration with the MESA Director to manage the functions of the MESA-STEM center and program. The duties of the MESA Management Assistant may include the following: managing the resources and staff of the MESA program; monitoring the available budget and maximizing the use of staff and program resources; overseeing purchasing and the acquisition of equipment and supplies for the program; monitoring and evaluating program impact and efficacy; compiling and producing reports for federal, state and local grants; ensuring compliance of departmental policies, procedures and goals, as well as requirements for the California Community College Chancellor's Office mandates; coordinating and/or assist in coordinating work and/or planning functions with other STEM-related programs or partners to meet established goals and objectives.
Job Duties:
Manages the resources and staff of the MESA program; monitors the available budget and maximizes the use of staff and program resources. Oversees purchasing and the acquisition of equipment and supplies for the program. Monitors and evaluates program impact and efficacy; compiles and produces reports for federal, state and local grants; ensures compliance of departmental policies, procedures and goals, as well as requirements for the CCCCO mandates. Coordinates work and/or planning functions with other STEM-related programs or partners to meet established goals and objectives. This includes managing MESA summer internships at UCSF in collaboration with the Center for Educational Partnerships. Collaborate with the MESA Director to strengthen STEM-related industry partnerships to expand opportunities for MESA scholars. This includes expanding summer internship opportunities, and mentoring experiences for MESA scholars. Organize workshops, seminars and STEM conferences for MESA scholars and students majoring in STEM in the CCSF community. Oversee the day-to-day operations of the program, including staff, facility, equipment and systems management. Assist with the recruiting of MESA students through coordinating MESA representation at high school college fairs, and STEM events. Work with event partners to strategically outline needs required for a successful event. Coordinate and chaperone MESA representation at STEM conferences to oversee MESA scholars developing effective leadership and presentation skills. Manage leadership and presentation workshops. Interact professionally, empathically and effectively with students, staff, faculty, administrators and the public. Compile, analyze, and synthesize program and project data to see and respond to emerging trends to meet the goals and objectives of the MESA program. Use technology and computer programs to manage data and files to generate and submit reports. Perform other related duties as assigned. Report to the dean of the School of STEM or designee. Manage the functions of the MESA Center: plan, prioritize and schedule workload, delegating specific tasks as necessary to other MESA staff. Coordinate and oversee clerical, technical support and student support activities. Monitor the Center's productivity and keep the dean (or designee) apprised. Make recommendations to the Director and Dean on outcomes assessment. Supervise the work of the MESA Center staff, specifically, the 3598 currently in place: plan, assign, direct and review work of subordinate personnel. Track staff attendance and manage absence reports and request for leaves. Monitor and evaluate staff performance, complete performance appraisal/evaluation and recommend disciplinary measures when appropriate. Counsel Center employees, provide training and aid in staff development and foster cooperation and teamwork among MESA Center staff.
Minimum Qualifications:
Possession of a Baccalaureate Degree or Higher from an accredited college or university.Experience:Three (3) years full-time equivalent experience performing professional-level administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.Substitution:Additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.Note: College Work Study and Student Lab Aide experience with the District will be considered/ applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities.
Desirable Qualifications:
Two years of experience managing a student-centered program. Ability to communicate clearly, and experience working with individuals from diverse socio-economic backgrounds. Demonstrated computer skills and the ability to competently use software programs and technology. Candidate has demonstrated the ability to be detailed orientated and a multi-tasker.

1. Additional Days Off with Pay.As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260days/year) work schedules are granted, as paid days off, the days between Christmas and New Years Day, as well as an additional five (5) paid days off during spring break.Eligible school-term only (STO) employees who are not scheduled to work the designated days between Christmas and New Years Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor.Eligible school-term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.2. New employees hired on or after October 1, 2013 will contribute 2% of salary to theSan Francisco Retiree Health Care Trust Fund (RHCTF).
