Event Lead + Event Coordinator Assistant
We are seeking a highly organized, creative, and detail-oriented Part-Time Event Lead and Event Coordinator Assistant to join our dynamic team. The event lead will be responsible for managing and executing a variety of events and weddings, ensuring that each client’s celebrations is flawless and unforgettable. This role requires excellent communication skills, the ability to multitask, and a passion for creating magical moments for our clients.
We are a small business and you will be involved in many aspects of the event. We are looking for someone willing to wear different hats and roll up their sleeves to get things done when needed. There is an opportunity to grow into a full-time Event Coordinator.
Responsibilities would include but are not limited to:
Essential Job Functions
Develop timelines, checklists, and floor plans to ensure seamless execution
Coordinate and manage all aspects of planning, including vendor management, logistics, and on-site operations
Collaborate with clients to create customized design concepts, themes, and decor schemes
Review contracts with vendors
Attend and oversee event setup, ensuring all elements are in place and meet client expectations
Coordinate with venue staff, vendors, and other stakeholders to ensure smooth event flow and troubleshoot any issues that may arise
Oversee and help with venue setup
Provide exceptional customer service, addressing client concerns and adapting to last-minute changes or requests
Assisting with office work (client correspondence, social media, and marketing projects) when requested.
Travel to locations as needed.
Perform any other duties as assigned.

Experience in Event Planning, Coordination or Setup

Able to sit and stand for extended periods of time.
Ability to lift equipment (up to 50 lbs.)

Ability to set up, operate, and take down an event with an eye and ear for detail.
Current time is 8-10 hours a week onsite, flexible schedule, and typically 1 event a week, typically Thurs-Sun.
This is a contractor position, paid hourly
