Junior Legal Assistant/Secretary

Whitemore James Black is a legal search and staffing firm. We are presently assisting the San Francisco office of a top law firm on their search for a full-time legal secretary.

The Role:

We are seeking a highly organized and detail-oriented Legal Secretary to join our client's San Francisco office. You will provide crucial administrative and legal support to our attorneys, ensuring the efficient operation of our fast-paced practice. This is a full-time, in-office position located in the vibrant San Francisco legal community.

Key Responsibilities:

- Manage and maintain attorney calendars, schedule meetings, depositions, and court appearances.

- Draft, format, proofread, and file legal documents, including pleadings, motions, and correspondence, in accordance with state and federal court rules.

- Prepare TOAs/TOCs.

- Handle electronic court filings (e-filing) with multiple jurisdictions.

- Maintain and organize both physical and electronic case files and other legal records.

- Serve as a professional and courteous first point of contact for clients and other legal professionals.

- Prepare and process time entries, expense reports, and client billing.

Qualifications and Experience:

- A minimum of 2 years of recent legal secretarial experience in a law firm setting.

- Strong knowledge of legal terminology, court procedures, and filing requirements.

- Proficiency with modern office technology and legal-specific software (e.g., MS Office Suite, document management systems).

- Excellent written and verbal communication skills, including the ability to draft clear and concise correspondence.

- Exceptional attention to detail and proofreading abilities.

- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.

- A demonstrated ability to handle confidential information with the utmost discretion.

- A high school diploma or equivalent is required; an associate's/bachelor's degree or paralegal certification is a plus.

Compensation and Benefits:

Salary: $70K to $100K DOE
