Small Oakland law firm seeks full-time File Clerk/Admin Assistant. M-F, 8:30-5pm. We are looking for someone who wants to be a File Clerk/Admin Assistant, not someone looking for work while in school or a filler position. We want someone long-term who wants to stay and grow with the firm. Prior professional office experience preferred but not required. Prior law firm experience preferred but not required. Office attire is professional-casual (no jeans). We are a paperless office.

Duties will include but not be limited to:

Maintain cloud-based legal files, which requires scanning, distributing and filing the daily mail.

Enter invoices in billing system and file copies in filing system.

Enter calendar entries in system as requested.

Download large case files and documents received via Dropbox or similar, open and read each document to rename documents per office system, distribute as necessary, and file.

General office duties of Scanning, copying, incoming/outgoing mail and packages, kitchen duties, assist with making coffee, stocking office supplies and kitchen snacks when delivered, office cleanliness, office projects, and other tasks as requested.

Office projects, including assistance with printing and assembly of trial binders and other tasks as requested.

Miscellaneous office projects that might include chair assembly of new chairs when received.

Office errands (walk to the bank a block away, and similar), all within walking distance.

Please be detail-oriented and able to follow directions. Please have the ability to maintain an organized and accurate filing system. Accuracy is key. Candidate must be proficient in Microsoft Office (Word and Outlook). Reliable, punctual, occasional light lifting, ability to be flexible and collaborative. Must keyboard type a minimum of 55 wpm. College degree preferred but not required.

The successful candidate will be flexible with changing daily priorities, open to interruptions, and willing to learn. Must be discreet and understand that client information is confidential.
