Writer's Retreat Program Manager (30hrs/week)

Mesa Refuge is seeking a part-time Program Manager to provide support for our residency and retreat programs, alumni engagement, social media, events and fundraising. Mesa Refuge is a three-bedroom writer’s retreat in Point Reyes Station, founded in 1997, that has provided time and space for more than 1,000 writers, activists, radio journalists and filmmakers focused on the environment/climate change, economic equity and social justice.

The ideal candidate has nonprofit and/or book, publishing or event experience in the Bay Area and lives within 25 miles of Point Reyes Station. They are organized, detail-oriented, a self-starter and clear communicator. They can manage multiple projects autonomously and work collaboratively. Knowledge of online platforms including Submittable, Salesforce, Constant Contact, website content management systems, Google docs/drive and social media platforms (Instagram and Facebook) is preferred.

The Program Manager is responsible for:

Residency Program & Retreats

- Primary liaison for 100 residents/year, who stay at Mesa Refuge for 1 or 2 week residencies.

- Coordinates annual residency selection process including applications on Submittable, working closely with the selection committee, and notifying, scheduling and orienting residents.

- Welcomes residents and is the primary point person during their stay. Organizes and assists with welcome dinners (Fridays) and final gatherings (Wednesdays) at Mesa Refuge.

- Coordinates biweekly KWMR radio interviews.

- Coordinates Alum Week schedule for 6-8 weeklong retreats for alumni each year. Collects payment and orients alumni.

- Coordinates DIY Retreats including communication with guests, schedule, payments and orientation.

Alum Engagement

- Primary contact for alumni network of 1,000 writers and activists.

- Develops alumni networking opportunities online and in-person in the Bay Area (i.e., writing workshops, publishing seminars, alumni platform, etc).

Fundraising

- Maintains Salesforce fundraising database, entering contributions, writing acknowledgements and updating donor lists.

- Assists with fundraising campaigns including preparation and mailing of spring and fall fundraising letters and online giving campaigns (i.e., on Giving Tuesday).

- Liaison with Legacy Circle members, and plans annual lunch.

- Assists in researching and writing grant applications and reports.

Social Media & Events

- Oversees and regularly posts on our Instagram and Facebook sites.

- Creates collaborative posts with partner organizations and alumni for events and giving campaigns.

- Assists with all events including annual Garden Party, author events in Point Reyes Station and workshops.

- Develops relationships with partner organizations including Point Reyes Books, KWMR, Point Reyes National Seashore Association, The New School at Commonweal, Chapter 510, and more.

Board of Directors

- Attends quarterly board meetings and daylong retreats, preparing Board Minutes and information packets.

Mesa Refuge has a small staff consisting of one full-time Executive Director and six part-time consultants/contractors. The Program Manager reports to the Executive Director and works collaboratively with the consultant team and Board of Directors. Some work is remote, one day/week is in Point Reyes Station. Compensation: $65,000 to $70,000, depending on experience. This position starts at 4 days/week. Benefits include holidays, vacation and IRA contributions after the first year of service.
