Job description:

We’re looking for a Front Office & Recruitment Coordinator to join our team in Fremont, CA. This full-time position offers an exciting opportunity to grow your career in a supportive and dynamic work environment.

Work Schedule: Monday to Friday, 8:00 am - 5:00 pm

Key Responsibilities:

Front Office Operations: Answer and manage multi-line phone system, greet and assist office visitors and candidates.

Recruitment Coordination: Support recruiting efforts by managing applicant flow, scheduling interviews, and onboarding new hires. Regular outreach to prospective candidates via calls to bring in talent.

Office Administration: Handle associate timecards, paycards, paychecks, and client invoices. Perform general office administrative duties including data entry, filing, and paperwork.

Customer Service: Ensure a welcoming environment and maintain excellent communication with clients, candidates, and staff.

CRM and ATA Systems: Utilize CRM software for tracking candidates, managing applicant information, and coordinating recruitment efforts. Familiarity with ATA is a plus.

Desired Qualifications:

Experience: Minimum 2-4 years in a front desk or office coordination role. Experience in recruitment and onboarding preferred.

Skills: Comfortable managing multiple phone lines, proficient in MS Office, quick and accurate data entry. Familiarity with CRM and ATA systems is highly desirable.

Personality: Outgoing, personable, and skilled at maintaining positive phone interactions. A team player with strong communication and organizational skills.

Bilingual: Spanish-speaking is a plus.

Education Requirements:

High School Diploma or equivalent required.

Previous experience in office administration, customer service, or receptionist roles is preferred.
