Clerical Assistant – Commercial Real Estate Office

Job Description: This is a full-time, work in the office, entry level position, performing general clerical duties and supports other office staff. The Clerical Assistant works with a multi-line telephone system, and should be familiar with typical office equipment such as copy machines, scanners, printers, and postage meter. Room for future advancement based on work performance.

Qualifications: This position also requires a working knowledge of PC based office computers and software such as MS Word, MS Excel, Adobe or Foxit PDF reader, MS Outlook and Firefox browser. Previous office work experience is desired. Punctuality, reliability, ability to work with a team, ability to multi-task, attention to details, organized, and a desire to produce quality work product, are all traits necessary for success in this position.

General Duties: General duties include the following:

Sorting, filing, coding, copying, scanning & shredding documents.

Printing and/or emailing documents as requested.

As directed, set up and maintain hard copy and digital filing systems for efficient recordkeeping and easy retrieval.

Maintaining inventory and re-ordering Company office supplies.

Pick up and distribute office mail. Take office mail to post box at end of day

Send/Receive FedEx and other mail/deliveries

Occasional visits to banks for deposits and post office for special mailings

Phone answering & greeting walk ins.

Assist with other Company office/clerical tasks and projects as assigned by supervisors.

Assist with mail and email list set up and updating for office marketing.
