Executive Assistant

Position Overview:

Our growing real estate investment company is seeking an experienced, dependable, and proactive Executive Assistant to support the President and leadership team in managing daily operations and workload. The Executive Assistant will be responsible for handling a variety of administrative tasks, including managing calendars, making travel arrangements, and coordinating meetings. The successful candidate should have excellent communication and organizational skills, and be able to effectively prioritize tasks to ensure that the leadership team's schedule is optimized.

Key Responsibilities:

Manage daily calendars, make appointments, and arrange travel for the President and other executives as needed.

Prepare and proofread correspondence and reports, including presentations, spreadsheets, and other documents as requested.

Assist with administrative tasks such as filing, record-keeping, and answering phones.

Interface with business partners on behalf of the President and forward communications as needed.

Plan and organize internal and external meetings, including coordinating logistics, ordering meals, and confirming attendees.

Ensure that all deadlines are met, and that the President's needs are prioritized appropriately.

Handle confidential information with the utmost discretion and professionalism.

Maintain office supply inventory by checking stock levels, anticipating needed supplies, and placing orders as necessary.

Communicate and interact effectively with individuals at all levels of the organization.

Requirements:

Bachelor's degree preferred.

A minimum of 3 years of experience as an Executive Assistant or similar role.

Excellent communication, organization, and prioritization skills.

Proficiency in Microsoft Office Suite and other relevant software.

Quick learner with the ability to adapt and thrive in a fast-paced, dynamic environment.

Proven ability to multitask and manage multiple priorities simultaneously.

Strong problem-solving skills and meticulous attention to detail.

Availability to work in the office Monday – Friday, 8:30 am – 5:30 pm.

Demonstrated ability to maintain discretion, poise, tact, and diplomacy in all situations.
