Immediate Opening: Office Assistant
We are looking for a highly organized and detail-oriented Personal Office Assistant to join our team for 16-24 hours per week. This role is crucial for supporting our operations and managing sensitive information efficiently.
Key Responsibilities:
Filing and Data Entry: Maintain organized filing systems and perform accurate data entry.
Electronic File Conversion: Convert paper documents into electronic formats for better document management.
Government Compliance: File and submit registrations and renewals with government agencies to ensure compliance.
Financial Management: Set up auto-pay accounts, update credit card information, and manage payment schedules.
Errand Running: Complete errands within a 10-mile radius of Burlingame, with expenses reimbursed on a per diem basis.
Record Organization: Organize and renew file records to keep documentation current and properly archived.
Certification Recovery: Actively recover missing certifications to maintain complete and updated records.
Monthly Filings: Manage monthly receipts and statements, ensuring all documents are archived and easily retrievable.
Business License Acquisition: Obtain the latest business licenses from customers to comply with local regulations.
Record Storage: Transfer retired records into storage for long-term preservation and easy access.
Confidentiality Management: Handle company and client sensitive information securely and confidentially.
Additional Tasks: Assist with other office-related duties as assigned by management.
Requirements:
Experience: Prior office experience is preferred; familiarity with office software (e.g., Microsoft Office Suite, Google Workspace) is a plus.
Skills: Strong organizational skills and attention to detail are essential. Candidates should be proactive and capable of managing multiple tasks efficiently.
Legal Eligibility: Must be authorized to work in the USA. Background check required.
