Job Description:
We are a small but busy architecture firm looking for a reliable and detail-oriented Administrative Assistant to join our team. This is a part-time, in-person position at our Potrero Hill office in San Francisco. The ideal candidate will work 4-5 days a week, for 4-5 hours per day, during our business hours of 9am-6pm. Exact hours can be negotiated.
Responsibilities:
Opening, sorting, and scanning mail
Filing
Assisting with scheduling
Ordering office supplies and groceries
Running errands within the City of San Francisco
Greeting visitors to the office
Answering the phone and managing the general email inbox
Coordinating vendors (cleaning, exterminator, etc.)
Plotting drawings for architectural staff
Taking meeting minutes
Assisting with managing filing systems, Asana tasks, and software licenses
Minor bookkeeping duties in QuickBooks to support the business manager may be requested at a future date
Reviewing employee timesheets
Qualifications:
Strong organizational skills
Excellent communication abilities
Ability to manage multiple tasks efficiently
Proficiency in Asana preferred, helpful to know Quickbooks but not required
Previous administrative experience in a professional office setting (professional services firm experience preferred)
Must be able to run errands within San Francisco
