Job Title: Office Administrator
Job Type: Part-time, 20 hours per week (Monday-Friday)

Job Description
Under the general supervision of the Operations Manager, the Office Administrator will support the planning, execution, and completion of solar projects while also providing essential sales and administrative support. You will be working on site in our sales office in San Francisco. This is not a work from home position.
Primary responsibilities include:
Project Coordination and Support:
Serve as the primary liaison with utilities for the interconnection process and incentive programs, including managing applications.
Coordinate permitting processes with local cities and counties (Authorities Having Jurisdiction - AHJs).
Maintain both physical and digital project records and files.
Administrative and Sales Support:
Draft and send contracts for execution, including requesting signatures.
Apply for building permits as part of the project execution process.
Schedule site visits for sales staff to meet with potential clients.
Set up Zoom meetings and appointments for sales presentations with building owners.
Prepare correspondence, agendas, meeting minutes, reports, presentations, invoices, and other documentation.
Answer calls and communicate effectively with stakeholders, including engineers, designers, sales staff, building officials, inspectors, homeowners, and commercial building owners.
Office Duties:
Update and maintain records, filing systems, databases, and contact lists.
Perform document scanning, editing and document shredding.
Monitor, maintain, and order office supplies and equipment/parts.
Provide administrative support and coordinate material shipments.
Other ad-hoc tasks may be assigned
Perform general office duties, requiring the ability to lift up to 35 lbs.
Required Skills
Strong interpersonal and communication skills (written correspondence and phone calls)
Ability to build rapport and communicate with a variety of people, including technical and non-technical stakeholders.
Self-motivated with a genuine interest in renewable energy.
Excellent organizational and time-management abilities.
Ability to manage a fast-paced environment with minimal supervision.
Proficiency in database management and the Microsoft Office Suite (Word, Excel, PowerPoint, Project, QuickBooks).
Required Qualifications
A minimum of three (3) years of relevant work experience.
A valid driver’s license is desirable but not mandatory.
Physical Requirements:
The role involves sitting, standing, bending, and reaching for extended periods. The candidate must be able to pull, push, lift, and carry items weighing up to 35 pounds.
