Our client, a growing commercial design firm is currently looking for a project coordinator to join their team in SF.
About the Role:
Assist in preparation of Proposals for account managers
Follow clean order procedure and convert a quote to sales order and create purchase orders
Review all purchase orders for completeness using formal checklist process & send all purchase orders
Check vendor acknowledgements and enter ship dates in Team Design
Provide copies of sales orders and acknowledgements to Account managers.
Communicate with vendors regarding orders and ship dates
Track Orders and advise Sales & Project Mgr. of status using a Status Report
Coordinate product arrival, delivery, and install dates and advise Account and Project Manager
Prepare sales order for billing. Assist resolving past due invoicing and discrepancies.
Review weekly the status of all outstanding billable and non-billable punch list items with Project Manager and Account Manager
Attend weekly sales meeting and operation meetings to review order status
Maintain project folders and perform ad hoc duties such as reception, mail or fax preparation or distribution, and acknowledging or receiving products
About You:
A Bachelor's or Associate's degree
Strong organizational skills with an entrepreneurial spirit
Ability to prioritize in a fast-paced environment
Proactive teammate with excellent communication skills
Positive and upbeat personality
Strong math and problem-solving skills
Proven understanding of MS Office (Word and Excel)
Meticulous attention to detail with a customer-centric approach to service
Willing to learn and tackle new challenges
