A downtown San Jose law firm has an opening for a receptionist. We are looking for a friendly, dependable professional and someone who demonstrates a high level of customer service toward our clients. Our ideal candidate would have prior experience working in an office setting, answering phones, and assisting with administrative support duties. Experience with a law firm is highly preferred.
This position is a full-time, 34 hours a week, in-office position (no remote work available).
Schedule: Monday through Thursday, 9:00am – 5:00pm and Friday, 9:00am – 4:00pm, with 1 hour each day for lunch.
Pay: $22.00-23.00 per hour, depending on experience. This role includes free parking, designated paid holidays, and paid sick and vacation time off.
In This Role You Will:
Greet visitors and assist them in a prompt and professional manner
Answer, screen and transfer all incoming calls
Receive, sort and distribute mail, packages and faxes
Prepare packages for pickup via USPS, UPS and Fed Ex when needed
Ensure reception area is tidy and presentable at all times
Keep front area, kitchen and restrooms neat and well stocked
Perform duties such as filing, photocopying, faxing as requested
Attend to special projects as assigned
Exercise discretion and confidentiality at all times.
Qualifications:
High school diploma or G.E.D. required
Minimum of 2 years’ experience in a reception or administrative support role required
Current Notary or Notary-qualified to complete the process at employer’s expense within the first six months of employment
Excellent verbal and written communication skills
Ability to interact clearly with lawyers, staff, clients and other employees
High attention to organizational skills
Skilled in using office equipment including copiers, printers, fax machines and phone systems
Proficient with Microsoft Office Suite (Word, Excel, Outlook)
Time management skills to prioritize and complete a wide variety of tasks throughout the day
Exceptional patience and listening skills to respond appropriately and interact positively with staff and clients
Interpersonal skills to create a pleasant experience for clients, such as being personable and attentive
