Bilingual (English / Chinese) Building & Property Manager

Position Summary: The Building & Property Manager role is to be held by a dynamic, experienced, competent, and highly efficient individual who will oversee and handle all daily operational aspects of the company’s portfolio of commercial and residential properties and their building & grounds. S/he acts as the primary liaison between tenants, management staff and employees, independent contractors, vendors, and city and government administrators and service providers. This role reports directly to the executive officers of the company.

Essential Duties and Responsibilities: To perform the role of the Building & Property Manager successfully, s/he must at a minimum be able to perform the duties and responsibilities outlined below with excellent proficiency and the highest standards of due diligence, commitment, and professionalism on a daily basis:

· Oversee each property in the company’s portfolio to ensure proper, safe, and smooth functioning of the building & grounds

· Routinely identify needed repairs and maintenance schedules, issues, and status

· Schedule, process, and complete new and recurring services for properties in the company’s portfolio

· Act and serve as the primary liaison between tenants, management staff and employees, contractors, vendors, government representatives, the public, and executive officers of the company

· Assign and manage staff scheduling

· Manage and supervise all projects, pending and or approved

· Follow up on pending work orders to ensure the repair and maintenance projects are timely scheduled and completed competently and meet all local standards for good workmanship

· Devise and implement sound marketing strategies for reducing vacancy and actively pursue all feasible avenues for leasing available tenancies in each of the properties within the company’s portfolio

· Implement, monitor & ensure adherence to property operating and renovation budgets for each property within the management portfolio

· Analyze, create and re-project appropriate operating and capital projects for each property within the management portfolio

· Review, monitor and evaluate monthly operating statements for corrections prior to closing books for each property within the management portfolio and prepare monthly variance and operating summaries

· Supervise, authorize, monitor, and administer contract services, repairs, and supplies, as well as approve expenses that exceed on-site staff authority at each property in the management portfolio

· Acquire appropriate “over budget approvals” from executive officers/management when expenses/budgets exceed pre-set approval limits

· Work with all service providers, management staff and employees, and executive management to coordinate, supervise and achieve on-time and on-budget delivery of capital expenditures for each property in the management portfolio

· Ensure proper contract, insurance and scope of work accompanies every capital project

· Implement, monitor, and evaluate project status and cost at all times from start to completion of a capital project

· Monitor and achieve acceptable levels of unit turnover, market and renewal rates, occupancy, delinquency, concessions, bad debt, expirations, and renewals for each property in the management portfolio

· Review and generate relevant rent roll reports on a regular basis, lease renewal reports, expiration management reports, monthly operating summary reports and financial statements to direct focus and priorities for management staff and employees and executive management

· Routinely assess, maintain, and anticipate appropriate marketing tools to maximize qualified traffic at each property in the management portfolio while minimizing unit downtime

· Understand the community and relationships in the community of each property in the management portfolio and promote and maintain positive goodwill and relations

Qualifications:

· College graduate or vocational degree in related field; relevant field certification(s) preferred

· At least 3-5 years’ experience in managing multiple commercial and residential properties with multiple units

· Excellent verbal and writing communication skills; ability to write clear and accurate routine reports, business correspondence, and procedural manuals

· Ability to calculate discounts, interest fees, commissions, proportions, and percentages

· Ability to support and perform basic accounting in conjunction with in-house bookkeeping staff and outside accounting firm

· Ability to apply common sense and understanding to interpret and carry out instructions furnished in written, oral, or diagram form

· Solve practical problems and deal with a variety of concrete variables in situations where only limited conventionality and standardization exist.

· Define problems, collect data, establish facts, and draw valid conclusions. Interpret an extensive variety of technical instructions in mathematical, diagram, or other form and deal with abstract and concrete variables

· Proficient in working with Microsoft Office Suite

· Proficient level of experience in ability to learn and use new softwares and applications

· Proficient and fluent in Mandarin and or Cantonese Chinese, verbal and written

Work Schedule: This is a full-time position, Monday to Friday (and weekends and emergency on-call as needed)

Compensation and Benefits: Salary and other benefits depending on experience ($40 - $60 per hour). Annual paid vacation. optional housing subsidy available
