Family Office and Home Manager – Job Responsibilities

Administrative & Home Office Management

Manage incoming packages and mail; sort and organize accordingly.

Oversee bill approvals and upload to Dropbox for records.

Regularly check inbox for action items, including HK/Singapore correspondence.

Maintain and update:

Trello boards.

Organizational charts.

Investment and property trackers.

Second home guest instructions (JCL 106, CT 02).

Monitor office supplies (plain paper, printer ink) and restock as needed.

Handle package prep and drop-offs via FedEx/UPS, including international shipments.

Facilitate preparation and mailing of state and federal tax payments with CPA.

Prepare signature pages, coordinate signatories, and ensure timely return.

Manage tuition payments in coordination with Financial Advisor

Scan and securely save bank and insurance cards (encrypted).

Research and book travel arrangements, including hotels, flights, rental cars, and airport logistics.

Assist with 49ers season ticket sales and transfers management

Track and manage renewals for passports, driver’s licenses, Global Entry, and vehicle registrations.

Perform notary services as needed.

Keep the Christmas address list up-to-date.

Property Management

Create and manage leases, including notifying renters of upcoming expiry dates.

Maintain renter insurance records.

Handle customer service calls for utilities and other property-related matters.

Schedule and manage annual maintenance, such as backflow tests.

Oversee home maintenance visits (e.g., service technicians).

Manage LLC compliance, including:

Statement of Information filings.

BOI report filings (if required).

Annual report filings.

Handle Hawaii GET tax filings.

Family Support

Assist family members with errands and transportation needs.

Walk Jennie to Uber rides and walk Fudge (family pet).

Compile and dispose of cardboard for weekly trash pickup.

Take bins in on Wednesday mornings.

Run errands such as grocery shopping, prescription pick-ups, and dry cleaning.

Coordinate household recycling efforts (batteries, ink, electronics) and goodwill donations.

Drop off and pick up items from dental/medical offices (e.g., retainers, hearing aids).

Address housekeeper supply requests (e.g., Target for cleaning supplies, Phil’s Electric for vacuum bags).

Stock drink fridge and oversee hot tub cleanings.

Initiate and process returns (in-store and mail).

Wrap Christmas gifts.

Presidio Office Assistance

Automobile Support

Renew vehicle registrations and parking permits annually.

Schedule and track vehicle maintenance.

Fill gas tanks and manage car washes.
