We are in search of a part time/flexible hours transaction coordinator assistant with some assistance in property management for a growing brokerage in the East Bay. The position consists of, but is not limited to the following duties:
Property Management/Admin
Position will over see, rents being collected on time, all rents, payments need to be documented. Employee will have to give out notices, arrange appointments, and possibly do site visitations. Responsible for maintaining leases, and paperwork pertaining to the leases.
-Preparing disclosure packages for new listings.
-Create paper files and electronic files for transactions
-Organize and file all required transaction documents
-Send disclosures to the selling agent
-Order NHD reports
-Order Home Warranties
-Track and keep all parties updated about contractual obligations
-Obtain require documentation from listing agents
-Upload documents to Wolf Connect
-Update agents on missing documents
-Send documents out for e Signature
-Assist agents with miscellaneous office equipment
-Attend recruiting events in Fremont
-Light Assisting in Billing and Property Management
-Coordinate with Maintenance staff
-Helping to assist on scheduling appointments and meetings
ESSENTIAL FUNCTIONS
Track all payables/ Rent paid on time
Protect organization’s value by keeping information confidential
Prepare and maintain monthly Receipts of rents and fees paid to the company.
Maintain a neat and organized filing system
Respond to inquiries from tenants about maintenance issues, schedules appointments, do open homes for rental homes.
Printing Flyer and modifying flyer
Awareness of social media (Facebook, LinkedIn, Twitter, YouTube, Pinterest)
Some knowledge of Above,, print shop
Spanish Speaking a Plus!
