Project Manager
Residential Real Estate Team (Oakland/Berkeley)
We are seeking a proactive, detail-oriented, and resourceful residential Project Manager to join our top-producing residential real estate team. This role is essential in managing the listing preparation and sales process from start to finish, with a focus on properties in the Oakland and Berkeley areas. The ideal candidate thrives in a fast-paced, deadline-driven environment and enjoys collaborating with agents, vendors, and clients to ensure exceptional results.
Key Responsibilities
Project Oversight & Timeline Management
Lead the full pre-market and escrow lifecycle for listings—from initial walkthrough to close of escrow
Develop and manage tailored prep timelines based on seller needs, agent availability, and market strategy
Track project milestones and maintain detailed listing-specific checklists in platforms such as Google Drive
Vendor Coordination & Onsite Management
Source, schedule, and oversee vendors, including inspectors (pest, general, sewer, etc.), stagers, painters, landscapers, and handypeople
Visit project sites regularly to monitor quality, troubleshoot issues, and ensure all work is completed to high standards and on schedule
Build and maintain strong vendor relationships; gather bids, confirm scopes of work, and reconcile invoices against project budgets
Coordinate with designers and manage ordering, tracking, and delivery of fixtures, materials, and supplies
Client Communication & Service
Provide weekly updates to clients; communicate clearly and calmly through challenges or changes
Operations & Systems Management
Track and reconcile property prep expenses to stay within budget
Maintain and update a shared listing tracker with vendor appointments, inspections, and key listing deadlines
Implement, refine, and improve systems and processes to maximize team efficiency
Assist with ongoing listing maintenance (light yardwork, sweeping, checking lights, watering, etc.) during active marketing and escrow period
Requirements
Proven experience managing multiple projects and tight deadlines, ideally in construction, real estate
Exceptional organizational skills and follow-through
Clear and professional verbal and written communication skills
Ability to anticipate obstacles and problem-solve independently
Comfortable with tech tools including Google Workspace
BS/BA degree or equivalent experience
Full-time access to a car, valid driver’s license, and insurance
Availability for some weekend and evening responsibilities
Preferred Qualifications (Not Required)
Real estate license or real estate industry experience
Familiarity with residential construction, home improvement, or interior design
Experience using web-based project management platforms
Location: Candidates local to Oakland or Berkeley are strongly preferred.
