Position: Pump Department Assistant
Job Summary:
The Pump Department Assistant is responsible for accurately and efficiently entering and submitting billing for all pump-related work. In some instances, the Pump Department Manager or Assistant Manager may handle billing on-site to enhance customer service.
Reports To: Pump Department Manager
Key Responsibilities
1. Billing:
- Process invoices for pump work completed by installers, the Pump Department Manager, or Assistant Manager.
- Assign work to the appropriate customer account for billing.
- Verify that work orders are accurate and complete.
- Collaborate with the Credit Department to resolve credit issues.
- Confirm material accuracy and pricing with the Manager before billing.
- Reconcile timesheets with billable hours.
2. Scheduling:
- Handle customer phone inquiries.
- Dispatch jobs when required.
3. Inventory Management:
- Assist with inventory tracking and job reconciliation.
- Manage open purchase orders, including returns for credits or defective items.
- Order and receive department inventory and supplies as directed.
4. Customer Records:
- Prepare contracts for pump work.
- Maintain warranty documentation.
- Update and organize service records.
5. Additional Duties:
- Attend departmental meetings.
- Perform other duties as assigned.
Work Relationships:
The Pump Department Assistant collaborates closely with the Pump Department Manager, department staff, Accounts Receivable, Accounts Payable, and Purchasing Agents.
Work Environment & Equipment:
The role is based at the corporate office in San Luis Obispo, with a dedicated desk and computer. Access to general office equipment is also provided.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Schedule:
8 hour shift
Monday to Friday
