We are currently looking for a Receptionist / Billing Specialist who will serve as the first line of communication for our business — answering phones, managing appointments, and supporting billing processes with professionalism and accuracy.
Key Responsibilities: Inbound call management, appointment scheduling and billing support.
Inbound Call Management:
-Answer all incoming phone calls promptly, professionally, and courteously.
-Triage calls to ensure they are directed to the appropriate department or team member (e.g., sales, service, support, billing, etc.).
-Take detailed, accurate messages when staff are unavailable and ensure timely delivery.
-Provide general information about the company’s services, hours, location, and policies as needed.-
-Maintain a call log or phone message tracking system to ensure follow-up and accountability.
Appointment & Sales Meeting Scheduling:
-Coordinate and schedule appointments for the sales team, ensuring accurate calendar entries.
-Confirm availability with sales representatives before scheduling appointments.
-Follow up with clients to confirm, reschedule, or remind them of upcoming meetings.
-Maintain a shared calendar system (Google Calendar) for visibility across the team.
-Prioritize leads and inquiries to ensure high-value opportunities are scheduled quickly.
Billing Support:
-Respond to incoming billing-related calls and inquiries, assisting clients with account information, payment questions, and invoice clarification.
-Make outbound calls to inform clients of past due balances, upcoming payment deadlines, or billing discrepancies.
-Collaborate with the accounting/finance team to resolve customer issues quickly and accurately.
-Document all billing communications in Asana (CRM software) for future reference.
Qualifications:
-High school diploma or GED required; associate degree preferred.
-1–2 years of experience in an administrative, receptionist, or billing role.
-Strong communication and interpersonal skills — both over the phone and in person.
-Professional, calm, and friendly demeanor, especially in high-pressure or time-sensitive situations.
-Proficient in Microsoft Office Suite (Word, Excel, Outlook) and phone systems.
-Familiarity with billing software or CRM platforms is a plus.
-Exceptional time management, organizational skills, and attention to detail.
