Description We are offering a contract position for a meticulous Administrative Assistant in South Pasadena, California. In this role, you will be expected to provide administrative support, handle complex clerical duties, and assist with various tasks related to customer service in a busy office environment. In this role you will receive, research, and coordinate the resolution of public requests for information, customer issues, and questions. For immediate consideration email your resume and call 626-463-2031. Responsibilities: Assist with the preparation, assembly, and distribution of important documents. Perform various complex and responsible clerical administrative duties Provide excellent customer service to visitors and telephone callers, addressing their issues efficiently. Compose and prepare correspondence and memoranda. Maintain and manage files, indexes, and distribute various codes and forms for reports. Operate and maintain proficiency in a variety of office equipment, including but not limited to, a personal computer and various computer applications. Perform administrative research and compile information, data, and materials. Process documents including, ordinances, resolutions, contracts, claims, and other related documents. Recommend and assist in the implementation of goals, objectives, and methods for continuous improvement of administrative services. Perform other related duties and special projects as assigned.Requirements Minimum of three years experience in an administrative assistant role or similar position. Proficient in Administrative Assistance tasks such as coordinating schedules, planning meetings, and handling correspondence. Previous experience in conducting Department Meetings, including setting agendas, choosing venues, and coordinating attendees. Ability to accurately record and distribute Meeting Minutes. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Ability to handle confidential information responsibly. Proficient in Microsoft Office Suite and other common business software. Ability to multitask and prioritize tasks effectively. Strong problem-solving skills and ability to think on your feet. Ability to work both independently and as part of a team. Demonstrated ability to meet deadlines in a fast-paced environment.
