Inside Sales Support / Administrative Assistant /
Customer Service Representative Position
Organic products manufacturing company with strong growth potential and opportunities for advancement and salary progression is seeking an experienced, hard-working and detail-oriented person for a key Inside Sales Support / Administrative Assistant / Customer Service Representative position on our team.
We are a Ventura, CA-based company that produces an FDA-regulated personal care and cosmetics product line marketed under the Aloe Cadabra® brand and a USDA-certified organic food product line marketed under the Garlic Gold® brand. We are profitable and family-owned, with proprietary products that are sold on the Amazon platform, and through a national retail network of both large retailers and small shops (relying at this time predominantly on word-of-mouth advertising and strong customer loyalty). Our products are natural USDA Organic and NSF Organic, free of GMO's and glutens, and have great upside potential.
We are seeking an early- to mid-career candidate to join our 5-person administrative team as an Administrative Assistant and Customer Service Representative. The ideal candidate for this position has prior relevant experience, is detail-oriented, has great people skills and the desire, capability and drive to (a) ensure operational excellence in fulfilling his or her role on the team; (b) increase our organization's productivity and efficiency; and (c) enhance their own career while working in a close-knit, family-owned business environment.
This position has dual reporting responsibility to the company's Chief Operating Officer, who works on-premises in Ventura, and to its Vice President of Sales, who works remotely from Minnesota. In this regard:
Approximately 60% of your time will be spent fulfilling your duties as Administrative Assistant. Reporting to the COO, you will compile data, prepare and present reports, schedule freight forwarding and coordinate order fulfillment with in-house shipping staff and production personnel; and assist our accounting staff with invoice posting, purchasing and account management.
Approximately 40% of your time will be spent fulfilling your duties as a Customer Service Representative. Reporting to the VP Sales, you will be the initial voice of the company for receiving customer calls, processing incoming orders, supporting outside sales efforts, social media campaigns and assuring smooth and timely follow-up, reporting and order fulfillment.
In order to successfully fulfill these roles, you should be familiar with EDI processing; proficient with using leading office productivity tools such as Excel, Word, PowerPoint, DropBox and GSuite; and ideally will have worked in the past with SmartSheet for collaboration management and with Great Plains enterprise/accounting software. You will interface with all aspects of the business and should be a team player who enjoys being a top performer and working in a values-centric company and sharing in the rewards this provides.
Responsibilities
Provide excellent communication and customer service via phone and email
Receive and handle inbound calls including inquiries and follow-ups
Help to process incoming orders from large and small clients
Issue invoices through email, using EDI and mail
Support sales initiatives to broaden market opportunities and build revenue
Post invoices into our accounting systems, and produce timely and accurate reports
Monitor receivables and payables, make initial inquiries and work with key accounts
Support purchasing and new product development activities when requested
Accurately carry out procedures and practices resulting in timely reporting
Adhere to and contribute to continuously improving policies to achieve the above
Qualifications
Associate or Bachelors degree, or off-setting life experience
A minimum of 3-5 years' experience in customer service and/or office administration roles supporting sales, accounting and/or senior office management
Familiarity with manufacturing and sales of personal care products, institutional food preparation, consumer product goods, or another related field
Ability to prioritize and manage multiple projects, attention to detail and exceptional time management and organizational skills
Strong administrative qualities, high integrity, solid work ethic, a positive mental attitude and appreciation for accountability, timeliness, follow-through and top performance
Excellent written/verbal communications abilities, spelling, grammar and presentation skills
Experience with Microsoft Dynamics GP (Great Plains) accounting software is a plus
Reporting | Compensation Range
Will report to the COO (60%) and the VP Sales (40%), with lateral reporting to company accounting staff
