SUMMARY
The primary responsibility of the Production Coordinator is to schedule and coordinate the flow of work within the department for tile and slab to expedite production. The coordinator will accept builder releases, process sales orders as received, order materials for will call or delivery, and schedule installations with the Shop Supervisor and General Superintendent for tile. Other duties include receiving all purchase orders and billing completed jobs, ordering shortages and providing assistance to arrange any pick up or rework before the close of escrow.
POSITIONAL RESPONSIBILITIES
Must have Walls Tiles and Flooring Experience
Audit all incoming orders for accuracy. Information includes but is not limited to contracts, diagrams, disclaimers, and pricing
Order materials on Will AdviseĀ and verify etas for will call or delivery in the correct style and quantity
Determine if back orders need to be reselected, or will there be enough time in the schedule to wait for the material to arrive. Alert designers as quickly as possible for any reselections
Process work orders and include diagrams when provided. Audit work orders with contract and other backup paperwork to ensure all information is correct. This includes labor descriptions and labor pricing per line item
Upon builder release, schedule tile, slab, and material deliveries. Post vendor will calls on the daily pick up board
Upon completion of the installation, ensure all billing paperwork is attached to the correct job number in the system and is marked as ready to bill
Must be able to work in and adjust to varying scheduling timelines typical in new home and commercial construction
Must have the ability to resolve issues such as scheduling conflicts, job readiness conditions, and work required by other trades before field measures can be performed. Any adjustments to the schedule or issues that cannot be worked out in a timely manner must be worked out with the builder
Must have a basic technical understanding of tile and slab installation, and the products used in the trade
Must have the ability to think quickly, often solving problems as they arise. Being able to think critically with good situational awareness
Must have excellent computer skills and the ability to learn new software programs
Responsible for building and maintaining interpersonal relationships with coworkers and builder representatives
COMPETENCIES, SKILLS AND ABILITIES
Previous experience in the industry is required
Previous experience working in a fast paced production environment is preferred
Ability to work professionally and independently with little supervision and a demonstrated capability to work in a team environment
Ability to do mathematical calculations to estimate quantities, and the ability to determine time, resources, or materials needed to perform a work activity to a timely completion
Ability to communicate effectively and in a professional manner in writing and verbally
Ability to multitask and while paying close attention to details
PHYSICAL DEMANDS
While performing the responsibilities of the coordinator's job, the employee is required to talk and hear. The employee is often required to sit and use his or her hands and fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with arms, hands, and to stoop, kneel, or crouch Vision abilities required by this job include close vision and extended time looking a computer screen
WORK ENVIRONMENT
Job duties will be performed primarily in an indoor office setting. May on occasion visit jobsites or other company locations
