Cabrillo Cooperative Housing Corporation and Eugene Burger Management Corp. are seeking an experienced individual to be a receptionist of our 160-unit Apartment Community in Ventura, CA.
The position is full time Monday-Friday 8-5 p.m., 40 hours per week. Or Part time 25 Hours per week minimum.
Hourly rate is $20.00 an hour plus benefits and paid holidays for fulltime employees. Pay to be re-evaluated after successful completion of 3-month probation.
Requirements:
-Reliable Transportation
-Authorized to work in the United States
-Bilingual- must be able to speak, write and translate in Spanish
-Background/credit check required
Qualifications:
- Previous receptionist or administrative assistance experience preferred.
- Customer Service in a fast-paced environment.
Preferred Qualifications:
- Experience with high volume phone calls.
- Experience with Yardi Voyager and Lotus notes.
Responsibilities:
- Responsible for opening and closing procedures including sanitizing surfaces of office reception area, conference room and kitchen.
- Answer and direct calls in a professional and pleasant manner. Gather information from caller, answer questions from homeowners and agents, and transfer all other calls to appropriate party if it is outside of your knowledge.
- Provide by email, fax or in person any requested documents to owners and board members.
- Create and email owners and tenants portal registration information.
- Greet all visitors entering establishment, determine nature of business and direct or escort to the appropriate area.
- Collect and log payments from owners and tenants in person or through mail.
- Provide administrative support to all departments including but not limited to: filing, preparing mailers (stuffing, stapling, attaching labels and sealing envelopes) scanning, copying and binding documents.
- Perform a variety of clerical and administrative tasks associated with keeping the office functioning smoothly.
- Collect, sort and distribute mail as a top priority daily.
- Ensure reception area is tidy and presentable at all times.
- Keep supply closet organized and inventoried, tracking what needs to be replenished and let office manager know.
- Update all office forms as changes happen.
- Request certificates of insurance from vendors or agents that have expired track upcoming expiration dates in Yardi.
- Track and hang all licensees on wall, let corresponding parties know when they are expiring.
