Job Summary
We are seeking a professional and efficient Receptionist to join our law office. The ideal candidate will be the first point of contact for our clients and visitors, representing our firm with a positive and welcoming demeanor. This role is crucial in maintaining a smooth-running office environment and supporting our legal team in delivering excellent service to our clients.
Key Responsibilities
- Greet and direct clients, visitors, and delivery personnel in a professional and courteous manner
- Manage incoming phone calls, emails, and correspondence, routing them to appropriate staff members
- Prepare conference rooms for meetings and depositions, and clean up after
- Process incoming and outgoing mail and deliveries
- Maintain a clean and organized reception and kitchen area
- Perform basic administrative tasks such as data entry, filing, and document preparation
- Assist with client intake procedures and basic case management tasks
- Manage office supplies inventory and place orders when necessary
- Order marketing materials for the firm and ancillary companies as instructed
- Ensure security procedures are followed for visitors entering the office
- Provide basic information about the firm's services to potential clients
- Assist with light clerical duties and special projects as needed
Qualifications
- High school diploma or equivalent; associate's degree preferred
- 1-2 years of experience in a receptionist or administrative role, preferably in a legal or professional services environment
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite and ability to learn firm-specific software
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Professional appearance and demeanor
- Basic understanding of legal terminology and procedures (preferred)
