Position Overview:
This is a full-time, in-office role for an organized and personable Administrative Assistant / Secretary / Office Manager. The ideal candidate is professional, reliable, and comfortable communicating with high-net-worth clients. This role requires passing the Series 65 exam within the first 3 months of employment.
Key Responsibilities:
Greet and assist clients in person and by phone
Manage scheduling, emails, and internal communications
Maintain client files and documentation with strict confidentiality
Assist in account opening, transfers, and document processing
Support advisors with client service requests and follow-ups
Prepare reports and maintain CRM/database systems
Handle general office duties (e.g., supplies, mail, scanning)
Qualifications:
2+ years of administrative or client service experience (finance industry a plus)
Strong interpersonal and verbal communication skills
Highly organized, detail-oriented, and dependable
Proficient in Microsoft Office (Excel, Word, Outlook)
Ability to handle sensitive information with discretion
Must be willing and able to study for and pass the Series 65 exam
Bachelor’s degree or equivalent experience preferred
