Administrative Assistant Position

Full Time Staff Position 2019–2020 School Year

Mackintosh Academy, a co-educational independent school serving gifted students in grades K through 8th seeks an Administrative Assistant for the 2019–2020 school year. The Administrative Assistant is often the first point of contact for students, parents, teachers and visitors. This position reports to the Head of School and works collaboratively with all members of our Faculty and Staff and community at large. The primary skills needed for this Administrative Assistant position include:

• Self-directed, warm, and engaging individual with exceptional people skills who enjoys interacting with children

5-14yrs. of age as well as adults;

• Technology proficiency required: Microsoft Office, Google, database management, and Internet skills;

• Strong clerical skills required: organizational, scheduling, analytical, time and space management;

• Having the confidence and abilities to manage both routine and non-routine matters with minimal direction;

• The ability to identify, prioritize, and manage multiple tasks at once in a highly busy environment;

• Excellent communication skills: oral, written, and presentation;

• Ability to form collaborative work relationships to facilitate project completion;

• Basic first aid skills (training is provided).

The responsibilities and opportunities for this position include:

• Serves as the “face” of the school while running front desk operations including an array of daily tasks: management of teachers, students, and parents; management of schedules and spaces; ordering supplies, tracking budgets, supervising the hot lunch program; and delivering general support for students in need;

• Maintains frequent and effective communication with faculty/staff (including a daily morning update), and with parents to provide timely reminders and campus updates;

• Manages calendars to support scheduling: meetings for administration members; field trips, class trips, and transportation; various speakers, visitors, and special events;

• Manages student attendance systems, communication of after school plans, creation of class and activity lists, and communication to/from teachers and parents as required;

• Organizes Parent/Teacher/Student Conferences sign-up and communication;

• Manages the report card systems and mailing/communication processes for both Lower and Middle Schools;

• Manages sub requests and classroom coverage for both planned/unplanned events and maintains records;

• Supports student enrollment/withdrawal process related to requesting or transmitting transcripts and records;

• Works with nurse consultant to support first aid, medication management, and annual record maintenance;

• Supports the design, implementation, and/or management of after school enrichment & camp programming;

• Supports onboarding new employees and subs in concert with Business Office;

• Participates in faculty/staff meetings, retreats, and school events;

• Supports the overall mission of Mackintosh Academy;

• Other duties as assigned.

Credentials:

• 2-3 years of experience in an office environment, preferably working with children.
