Personal Assistant (Part-time, Boulder)

HOURS/LOCATION:

Part-time, variable. Estimated at 8-16 hours per week to start but could grow into more if we find enough things for you to help me with.

Because it is part-time, I am happy to work around your other commitments (job or family). However, some tasks will need to be performed on-site during normal business hours, so if you have a normal full-time job that unfortunately won’t work.

LOCATION:

Mix of on-site in Boulder and some virtual/telecommute. I can only I consider people who live in Boulder or very close by.

POSITION SUMMARY:

Help me with my busy life!

I am looking for a part-time personal assistant to assist me with a wide variety of tasks. I find myself overloaded while running my business and I need administrative support for my personal life. I work in a creative field and co-manage a company of 30 people.

Your high level goal is to help make my life easier by taking care of tasks, errands, and other administrative things. Practically, this will be done through a mix of on-site and virtual work. Your success in this role depends heavily upon us establishing a comfortable and respectful working relationship where I can learn over time to delegate more and more things to you and you learn over time how to anticipate my needs and find things to help me with.

The tasks vary in nature, and you should be comfortable with both ends of the complexity spectrum. Some will be simple and straightforward and some will require problem solving and tenacious follow up.

This is a role that encourages and rewards someone who is friendly, diligent, and resourceful.

Potential tasks include (but are not limited to):

—Simple personal errands (e.g. drop off and pick up dry cleaning, pick up groceries, etc.)

—Researching and sourcing various personal purchases as necessary

—Help with getting rid of some personal items. I have a variety of things that either need donated or sold on eBay/Craigslist/FB Marketplace.

—Book and manage my non-work appointments (medical, personal care, automotive, etc.)

—Help me manage my inbox—filtering and sorting email, taking care of things that don’t need my attention, and flagging important ones for my follow up.

—Help me manage my calendar

—Collaborate on my personal to-do list, which is in Trello

—Book my travel—work with me to learn my preferences and take over handling arrangements

—Sort and prioritize my physical mail

—Assist with paying bills that are not automated

—Help coordinate with tradespeople and contractors who are doing work for me

—When I am out of town: arrange to receive packages, pickup mail, check on house, set out trash cans, handle house emergencies, and so on.

REQUIREMENTS & QUALIFICATIONS:

Previous experience as a PA, EA, or office administrator is a huge plus, as is a formal education.

You will require access to your own car, to be able to run errands.

In order to be successful in this role, you will need to be:

—Proficient with technology. It’s important you know your way around g-suite/office, and various apps so you can effectively take on more tasks and alleviate burden from my day-to-day. Are you an email and calendar wizard? Are you comfortable in a spreadsheet? Have you used Trello or other task-tracking software?

—Reliable and communicative. The role is flexible but I need to depend on you and know that assigned tasks will get handled in the time frames we discuss. Naturally curveballs will arise from time to time, which is why communication is also important.

—Highly organized and detail oriented. This is not a role for someone who only thinks big picture. I need to be able to trust you to get the details right—particularly with things like travel arrangements. If you read this sentence, please put the word “prestige” at the start of your email when you respond to this posting.

—Resourceful and diligent. You don’t have to be an expert at everything, but you should be willing to research, learn, and use tools to solve problems as they come up. All done with minimal oversight and micro-management. The goal is for me to be able to rely on you to chase things down and overcome obstacles on your own.

—Tenacious. Can you be firm with vendors or other people that require a bit of hassling for them to follow through on projects?

—Open to direction and feedback. This is an assistant role, which means that I need to be able to give direction as necessary. While I pledge to be respectful and considerate, thick skin is helpful because sometimes communications must be pointed and brief, and also you need to be able to break through typical barriers encountered when following up on my behalf with other people or organizations.

—Proactive. This arrangement will be a learning experience for me, but an exciting one. The more you can foresee my needs, the more tasks we’ll uncover for you to help me with.

—Able to communicate well in both verbal and written form. You will be arranging and contacting various people and organizations on my behalf, and it’s important that I am represented well.

Finally, as over time you will have access to many parts of my personal life, you will be expected to sign a reasonable confidentiality agreement to protect my privacy.
