A top-producing Boulder real estate team is looking for a 30-40 hour/week office manager keep the office running smoothly, allowing the sales agents to focus on dollar-producing activities.

Duties include scheduling appointments, organizing files, customer service with clients and visitors, taking messages, preparing real estate forms & contracts, documents and correspondence, ordering supplies, mailing newsletters, distributing reports, making travel arrangements and maintaining electronic and paper filing systems, updating information on the Multiple Listing Service, and disbursing funds associated with a home sale.

Computer literacy is necessary for this job, as is the ability to focus on many tasks at once in a fast-paced team environment. Candidate MUST be detail-oriented and organized. Administrative experience and the ability to pay attention to deadlines and communicate effectively with the Team is vital to the role. Candidate must be comfortable learning new systems, have a personal computer, have a car, be willing to be a 1099 contractor, & have a current CO Real Estate License.

Job Description:

Create real estate paperwork and ensure all information is correct and signed by deadlines.

• Schedule staging and photography for each listing

• Coordinate fliers, lock box and sign drop off/pick-up

• Obtain all necessary contact information and showing instructions for the showing service

• Coordinate title/escrow, mortgage loan and appraisal processes

• Obtain all HOA information including minutes/financials, rules and regulations, and bylaws

• Coordinate inspections, and work with contractors/vendors and assist in negotiations regarding repairs, and completion of repairs

• Schedule and coordinate closing process

• Data entry and management of information into multiple platforms

• Coordinate and communicate on administrative tasks internally and externally

Skills Qualifications:

• Experienced administrative assistant

• Real Estate and/or Property Management experience strongly preferred

• Attention to detail and high level of accuracy required

• Ability to meet strict deadlines

• Ability to work in a fast-paced environment

• Superior organizational and prioritization skills

• Ability to work within a team environment as well as independently

• Positive and outgoing disposition

• Cooperative, team-oriented and calm under pressure

• Mature and professional attitude and appearance

• Excellent computer skills

• Strong written and verbal communication skills

Past Experience should include:

1. Real Estate or Title work experience

2. Knowledge of MS office programs and ability to take a short test to verify

3. Strong organization skills

4. Upbeat attitude

5. Working Knowledge of CTM E-contracts, RE Colorado ( MLS) and Centralized Showing Service

6. Able to take a marketing plan and implement it in a timely manner
