Job Summary:
The Mitigation Office Manager plays a critical role in overseeing the administrative and operational functions within the mitigation department. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously while ensuring efficient coordination between clients, technicians, and management. The Mitigation Office Manager is responsible for driving smooth processes and ensuring a high level of customer satisfaction throughout the mitigation process.
Key Responsibilities:
Office Management: Oversee the daily operations of the office, ensuring all administrative tasks are completed efficiently, including scheduling, client communications, and record-keeping.
Client Coordination: Serve as the main point of contact for clients, addressing inquiries, explaining mitigation processes, and ensuring customer concerns are resolved promptly and professionally.
Project Documentation: Assist in managing project documentation, including job files, estimates, reports, and insurance claim documentation.
Scheduling & Dispatch: Coordinate and schedule mitigation teams for onsite work, ensuring technicians are dispatched promptly and efficiently for emergency response and mitigation jobs.
Billing & Invoicing: Manage the invoicing process, ensuring accurate and timely billing for mitigation services, including tracking payments and following up on outstanding invoices.
Team Support: Work closely with project managers, technicians, and other staff to ensure smooth operations and project flow. Provide administrative support and assist with staff scheduling and payroll.
Vendor & Subcontractor Liaison: Coordinate with vendors and subcontractors for necessary supplies and services related to mitigation projects.
Inventory Management: Maintain accurate records of equipment, tools, and supplies, ensuring availability and readiness for mitigation projects.
Quality Assurance: Monitor the progress of mitigation projects to ensure timely completion and that all work meets company standards and client expectations.
Process Improvement: Continuously identify opportunities to streamline office processes and improve efficiency within the mitigation department.
Qualifications:
Previous experience in office management, preferably within the restoration, construction, or disaster recovery industry.
Strong organizational skills and the ability to manage multiple tasks at once.
Experience with project management software and familiarity with industry-specific tools is a plus.
Knowledge of the mitigation and restoration process, including the challenges associated with water, fire, mold, and storm damage.
Excellent written and verbal communication skills, with a customer-first attitude.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to maintain confidentiality and handle sensitive customer and company information.
Problem-solving and decision-making abilities.
High school diploma or equivalent; additional certifications or education in business administration, construction management, or a related field is a plus.
Previous experience in customer service or a customer-facing role is a bonus.
