This position is considered frontline, which means the person in this position is the first contact with our customers and staff. The incumbent should be aware of the company policies and procedures that are directly related this job and should also be familiar with all office processes. Appropriate office attire is necessary.
Below is a list of job responsibilities:
Customer Service: Exhibit superb customer service which includes courteous and professional interaction with office and field staff, clients, and applicants.
Create proposals, utility locates, RFIs and purchase orders received from office and field staff.
Accurate and timely update the Black Book (field schedule log.)
Receive and distribute mail each day to appropriate staff.
Prepare payroll on a weekly basis.
Accounts Payable – Enter invoices and credit card transactions into QuickBooks on a weekly basis.
Maintain, distribute and collect new hire paperwork.
Maintain office supplies including first aid kits.
Filing – maintain hard copy office documents.
Respond to office staff needs, i.e. access job file, filing, information gathering, label plans, etc.
Job Qualifications:
Knowledge of basic clerical duties
Knowledge of basic accounts payable processes
Knowledge of payroll preparation processes
Knowledge of job cost coding
Knowledge of QuickBooks, Excel and Microsoft Office
Organizational skills required
Excellent oral and written communication skills
Team player with a positive attitude
Fast pace office - ability to multi-task
Hourly rate based on experience
