Position Purpose

The City of Arvada promotes Equal Pay for Equal Work. Starting salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity. The range listed reflects the entire range and typical placement is entry to mid range.

Hiring process includes: application, personal history questionnaire, interview, background, polygraph, and testing.

Provides executive level administrative support, customer service and office management for the Deputy Chiefs of Police and the patrol and operations divisions of the Police Department.

Job Functions / Scope of Authority

ESSENTIAL JOB FUNCTIONS

Works on a variety of complex administrative assignments in support of both Deputy Police Chiefs and multiple managers in both divisions.

Assists division leadership with developing resources and collaborating with external partners to facilitate community meetings and outreach.

Provides coordination and support for projects, programs and systems unique to the police department.

Receives requests for information from internal and external customers, responds to or collaborates with other departments for response as needed and documents responses.

Designs, prepares or maintains a variety of routine to complex forms, documents, spreadsheets, brochures, presentations and reports; has discretion to compose routine and sensitive correspondence.

Exercises discretion and maintains a high level of confidentiality, tact, integrity and ethics in dealing with sensitive matters.

Prepares and maintains budget and financial records and reports, manages purchasing card and petty cash, tracks and reconciles expenses, pays invoices, and other accounting duties.

Prepares and organizes promotional processes and departmental commemoration.

Coordinates with human resources on all personnel actions and paperwork.

Manages calendars, schedules, conference registrations and travel arrangements for deputy chiefs of police.

Acts as office manager for both divisions, orders and maintains supplies, equipment, and furniture; ensures safety and cleanliness and overall professional appearance of the office; supports police community stations with office and facility needs.

Attends staff meetings and other meetings as assigned and prepares and disseminates minutes

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES

Advanced knowledge and experience in all facets of office administration and office software including: word processing, spreadsheets, presentations, and desktop publishing. Adept at learning and using specialty software and databases.

Knowledge of accounting, bookkeeping and budgeting practices.

Proficient skills to effectively research, draft, edit and prepare final documents and reports.

Proficient multitasking and organizational skills with the ability to provide all levels of administrative support to multiple managers in a professional work environment.

Strong customer service skills and ability to handle difficult or sensitive inquiries.

Ability to exercise discretion and maintain a high level of confidentiality, tact, integrity and ethics in dealing with sensitive and confidential matters.

Ability to effectively communicate information, both verbally and in writing, to support organizational objectives and interact with all levels of personnel within the city in a positive and cooperative manner.

SCOPE OF AUTHORITY:

Receives minimal supervision under the direction of the deputy chief of police. Duties and tasks are complex and confidential in nature. Plans own work to meet defined work plans and objectives. Functions as the recognized information source for assigned areas of responsibility. Has a high level of latitude for independent judgment and initiative in resolving problems and prioritizing tasks.

Financial Accountability:

Monitors and reconciles purchasing cards, accounts payable and/or receivables and prepares financial statements and reports. Responsible for administering a petty cash fund and has authority to use City purchase orders and a purchasing card issued by the City.

Working Environment / Qualifications

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES:

Work is primarily performed in an office environment. Light physical effort is required by handling objects up to 20 pounds occasionally and/or up to 10 pounds frequently.

MINIMUM EDUCATION OR FORMAL TRAINING AND EXPERIENCE:

High school diploma or equivalent and five (5) years of progressively responsible administrative/office experience. Demonstrated advanced skills in word processing, spreadsheets, financial accounting, data entry and desktop publishing. Requires a minimum keyboard typing speed of 60 wpm. Must undergo and pass a thorough background investigation. Must pass a polygraph examination.

Preferred Qualifications:

Experience working with executive level management, experience in government or police department, Bachelor’s degree preferred.
