Job Title: Office Assistant

Schedule: Tuesday-Thursday, 9 AM - 5 PM

Pay Rate: $24 per hour

Start Date: Urgent - Position available to start as soon as tomorrow

Job Overview:

The Office Assistant will be responsible for supporting daily office operations by performing a variety of administrative and clerical tasks. This role requires a detail-oriented individual with excellent organizational skills who can handle multiple tasks simultaneously. The Office Assistant will ensure that the office runs efficiently and that all administrative tasks are completed in a timely manner.

Key Responsibilities:

Reception Duties:

Greet visitors, answer and direct phone calls, and manage correspondence (emails, letters, packages).

Maintain a clean and welcoming reception area.

Administrative Support:

Prepare and manage documents, including copying, scanning, and filing.

Assist with scheduling meetings, appointments, and conference calls.

Maintain office supplies inventory and place orders as needed.

Handle incoming and outgoing mail.

Data Entry:

Enter, update, and maintain accurate records in databases and systems.

Assist in the preparation of reports, presentations, and spreadsheets.

Communication:

Coordinate communication between different departments.

Respond to internal and external inquiries in a professional manner.

Office Management:

Assist with organizing office events, meetings, and workshops.

Support the maintenance of office equipment and liaise with vendors for repairs or supplies.

Other Duties:

Provide assistance with special projects as needed.

Perform additional tasks as assigned by the supervisor.

Qualifications:

Education: High school diploma or equivalent required; an associate degree or higher in a related field is a plus.

Experience: Prior experience in an administrative or clerical role is preferred.

Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational and time management skills.

Excellent verbal and written communication skills.

Ability to work independently and as part of a team.

Attention to detail and problem-solving skills.

Ability to multitask and prioritize tasks effectively.

Work Environment:

This job operates in a professional office environment. The role may require sitting for long periods and occasionally lifting office supplies or equipment.
