Office Assistant - Receptionist

Job Summary:

The Office Assistant will perform various routine clerical duties to support the organization.

Essential Job Functions:

Serves as the receptionist for the office, greeting visitors and applicants.

Answers, screens, and directs phone calls to the appropriate individuals.

Sort and distribute mail and package deliveries.

Looks for and reports any needed maintenance of office equipment including cleaning, maintenance, and repairs.

Regularly assist with sorting invoices, mailing checks, shipping documents, managing conference rooms, and tracking out-of-office schedules.

Maintains inventory of office supplies; orders new supplies as needed.

Maintain front lobby: workspace, reception area, and coffee room.

Maintains office files; implements an efficient system for other staff to access files and records.

Coordinate office employee functions.

Performs other related duties as assigned.

Required Skills/Abilities:

PC software skills especially MS Office Suite programs, specifically Word, Outlook, Excel, and PowerPoint.

Excellent verbal and written communication skills.

Excellent interpersonal and customer service skills.

Excellent organizational skills and the ability to multitasks.

General Administrative-Managerial knowledge to perform required tasks and duties.

Ability to answer multiline telephone.

Must have a personality that is almost always upbeat and cheerful.

Education and Experience:

High school diploma preferred but not necessary.

Two to three years of experience preferred but not necessary.

Physical Demands:

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.

Must be able to work 8am to 5pm shift Monday – Friday.
