With our combined resources CommonSpirit is committed to building healthy communities advocating for those who are poor and vulnerable and innovating how and where healing can happen both inside our hospitals and out in the community.ResponsibilitiesJob Summary / PurposeThe Executive Coordinator will plan, organize and coordinate the administrative aspects for the Senior Vice-President/Vice-President level leadership they are assigned to support.Essential Key Job Responsibilities

Provides direction and prioritization standards for the screening of leadership's mail, email, voicemail and appointments by using expert judgment and knowledge. Maintains up-to-date calendar of meetings, travel, events, and anticipates associated needs.

Anticipates needs, and proactively brings together appropriate people and other resources to support leadership in addressing issues.

Serves as departmental liaison with administrative personnel concerning Dignity Health policies and procedures, and budgetary preparation and control.

Conducts research, develops content, and creates effective presentations; independently develops presentations for leadership to deliver. Types agreements, drafts correspondence, emails, etc; proos documents with high degree of accuracy; operates standard office equipment.

Creates and maintains files; prepares mailings, including gathering back-up materials, duplication, preparation of labels and envelopes, and acts as contact point for Managers or leadership wanting additional or follow-up information.

May represent CommonSpirit and/or the leadership on internal or external committees. Handles confidential information on variety of topics including, but not limited to company operations, performance, or value.

Processes bills for department and various vendors; maintains budget chart of outside counsel fees; monitors monthly budget reports.

Performs other duties as assigned.

QualificationsMinimum QualificationsRequired Education and ExperienceA minimum of 5 years of office support/executive assistant experience with management in a Corporate or Healthcare environment (required).High school diploma (required)Associate or Bachelor's degree (preferred)Required Minimum Knowledge, Skills, Abilities and Training Special skills required include:organizational and prioritization skills; attentive to detail; experience in multi-task coordination; ability to relate to a variety of personalities; professional appearance and manner; ability to exercise creativity,good judgment, and initiative; excellent writing, proofing, and editing skills; and advanced knowledge of desktop applicationsPay Range$26.51 - $38.44 /hourWe are an equal opportunity/affirmative action employer.
