This regional center exists to manage the day-to-day operations and service delivery for Grand Junction Regional Center (GJRC), licensed as an Intermediate Care Facility for Individuals with Intellectual Disabilities as well as a provider of Home and Community Based Services (Waiver services). GJRC provides 24/7 direct care for approximately 80 residents. GJRC's primary goal is to provide the necessary supports and services to residents who cannot be safely served in community based programs due to complex medical and/or behavioral needs. Description of JobThe Program Assistant II will provide administrative and technical support to the Senior Director of Residential Services, Program Service Director and Community Integration and Engagement Director. These departments provide comprehensive, quality support and services that improve the safety and independence to approximately 86 individuals with developmental disabilities at the Grand Junction Regional Center (GJRC), which covers HCD-DD and ICF/IID licenses. This work unit exists to independently provide office management and or apply knowledge of and/or interpret basic principles, rules, regulations, policies, procedures and protocols, other guidelines, and objectives specific to these departments to resolve problems, answer questions and provide information and /or advise others on issues or matters for GJRC.Additionally, as a Program Assistant II you can expect to:

Independently develops, designs and supports the administrative office functions for the Senior Director of Residential Services, Program Services and the Community Integration and Engagement departments and the disciplines within these departments

Ensure GJRC office services are available and provided during office hours. This position will assure management and quality assurance of day-to-day office operation and duties are carried out. This position will create, revise and implement office priorities related to workflow, coverage, correspondence, timelines and expectations are being met

Perform a full range of duties to include use of independent judgment and personal initiative for all job aspects and the understanding of the operations of GJRC; relieve management of certain matters by following up on projects, transmitting information, keeping informed of pertinent activities, scheduling appointments and maintaining event/commitment calendars. Schedule and coordinate meetings; prepare agenda, supporting material and minutes or summaries of meetings. Address director’s concerns related to work unit operations

Accountable to finalize a variety of documents and ensure format, completeness, accuracy, and compliance with policies, procedures, and protocols

Assure confidentiality and accountability of resident’s records. Handles sensitive/ confidential materials for the delegated appointing authority. Complete follow-up as needed for confidential client related actions

Act as liaison for the Senior Director of Residential Services, Program Service Director and Community Integration and Engagement Director with regards to but not limited to handling complaints and requests for information. Ensure Directors are aware of any negative or immediate issues or concerns

At the request of the Directors for special projects, this position will develop and maintain comprehensive tracking and reporting processes for the departments and provide ad hoc reporting as needed

Represent GJRC in all areas of customer service as a liaison for the Senior Director of Residential Services, Program Service Director and Community Integration and Engagement Director - handles complaints and requests for information. Ensures directors are aware of any negative or immediate issues of concerns

Systematically stores and files information for easy access and irretrievability by electronic formats through Google drive, create, monitor and maintain spreadsheet and/or database for tracking of client’s payroll for those persons who work on the agency's contract jobs and maintain a filing system for the individual payroll reports, wage analysis reports Reports must be in compliance according to Accounting Rules & Regulations

Performs other duties and projects as assigned

Professional Administrative experience working within a professional office setting

Strong analytical skills, the ability to synthesize, interpret and report on complex or technical information, collect and research data acting and understand the impact of decidsions that are made in data analysis and interpretation.

Outstanding skills and abilities in verbal and written communications to audiences of varying levels within an organization, in groups and individual settings.

Experience with administrative and clerical procedures and systems such as word processing, data management, managing files, transcription, designing forms, taking meeting minutes, timekeeping and other office procedures and terminology.

Experience with business and management principles involved in strategic planning, resource allocation, human resources modeling leadership techniques, productions methods, and coordination of people and resources.

Experience with oral presentations and public speaking.

Experience with structure and content of English language including the meaning and spelling of words, rules of composition, and grammar.

Experience with software and hardware, data systems, multi-relational databases, Internet, email, and other workplace technology and electronic devices.

Experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

Advanced analytical skill set for purposes of conducting studies to analyze program issues/management concerns

Experience with managing program schedules

Managing work plans, deadlines and tracking systems

Purchasing and costing allocation experience

Advanced skillset in word processing, data management/analytics and for development

Advanced skillset developing Microsoft Access databases

Advanced skillset developing Excel spreadsheets

Conditions of Employment

CBI name check and fingerprint check, ICON Colorado court database, Medicare fraud database, Reference Checks, Professional License verification (licensure requirements), Drug Screen, PREA (Division of Youth Services), Trails check (direct contact with children), CAPS (direct contact with adults – Mental Health Institutes, Regional Centers, Veterans Community Living Centers)

Must have a current/Valid and unrestricted US Drivers License

This position must travel to work sites and must utilize a state vehicle, if available, if not, must utilize personal vehicle and submit for mileage reimbursement

May travel using state car to various group homes, program, admin and in community as needed

TB test required, requires Influenza and COVID vaccine

GJRC is a 24/7 facility, may need to adjust schedule for training, etc to meet the agency needs. Not shift differential eligible
