This position serves customers and visitors in-person at the Bemis Library, as well as answering and/or referring inquiries received by telephone or email.Because Spanish is the primary or preferred language of many LIRC clients, the Business Support Assistant must be able to communicate fluently, professionally, and courteously in both Spanish and English, both orally and in writing.This position is the first point of contact for clients of the LIRC, and a front-line representative of the Bemis Library and of the City of Littleton. Serves as the LIRC’s receptionist, courteously and promptly greeting visitors and telephone callers, and assisting staff members.
Assists in the daily activities of the LIRC, providing support to the LIRC Supervisor.
Responsible for incoming and outgoing communications with LIRC customers seeking legal and educational services. This may include answering customer questions, taking messages, scheduling appointments, or other functions.
Responsible for greeting walk-in visitors and determining their needs.
Promptly returns calls from customers, accurately tracks calls, appointments, and deadlines.
Provides information regarding other city departments and local events, referring clients to other organizations as needed.
Pre-screens prospective legal clients to determine eligibility for immigration benefits, under the Legal Assistant’s or LIRC Supervisor’s supervision.
Provides support to LIRC staff by registering customers and volunteers, making copies, and scanning documents.
Handles payments and prepares receipts for classes, tutoring and legal services.
Counts bi-weekly cash receipts and enters weekly receipts in financial software and/or related spreadsheets.
Transports mail, cash deposits, and other items to/from the Littleton Center building when needed.
Efficiently performs clerical work such as organizing and filing paperwork and electronic documents according to set standards and preparing and sending mail.
Checks copier supplies and operation, reporting issues and ordering supplies when needed.
Prepares paper-based immigration applications to be mailed, including scanning, copying, and shipping.
Enters confidential information in client database.
Translates or facilitates translation of LIRC materials from English to Spanish, utilizing outside translation services if necessary.
Schedules meeting rooms for public groups and staff; confirms eligibility of public groups using meeting rooms.
Works with volunteers on assigned projects.
Observes and follows established city and department policies and procedures in the daily conduct of the job.
Assists visitors or staff in emergency situations by following written procedures in instruction notebook. Telephones for emergency medical assistance as necessary.
Performs other similar assignments and projects as required.
May serve as an Emergency Worker.
Minimum Qualifications
High school diploma or equivalent, and a minimum of one (1) year previous work experience in a customer service and clerical support related position with excellent interpersonal skills; or
An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position may be considered.
Ability to pass a pre-employment criminal background check
Knowledge, Skills, Abilities
Fluency in English and Spanish.
Ability to effectively and courteously communicate and interact with visitors, callers, and staff members in the LIRC.
Ability to establish and conduct verbal communications often across language barriers.
Cross-cultural sensitivity and the ability to work with people from various cultures.
Proactive service approach, seeking ways to help the customer.
Familiarity with common office computer software and equipment, such as Microsoft Office and multifunction copier/scanner/printers.
WORKING ENVIRONMENT & PHYSICAL ACTIVITIES:
The essential duties for the position are performed indoors in a standard indoor office environment.
Physical activities include the ability to lift, carry, push, or pull objects weighing up to 25 pounds with or without assistance.
